ORGANIZATIONAL CHANGE MANAGER

HFS provides on-campus housing to over 10,000 student residents and operates over 40 dining and café locations that serve the entire campus community. PURPOSE
The Organizational Change Manager (payroll title: Business Systems Analyst) will support and lead all aspects of the change management model (project team enablement through stakeholder management, communications, training/learning activities, job impact presentation, business end-user readiness and adoption, change networks, change impacts, change readiness, business readiness, and role mapping). The Change Manager will focus on the people-side of change, including changes to business processes, systems and technology, job roles, and organizational structures. This position is responsible for defining and implementing change management plans that maximize employee engagement to ensure successful adoption and transition to the new system, roles, and processes. A primary focus will be working with and coaching unit-level leaders and teams to ensure that units and departments maximize buy-in and minimize resistance and are able to leverage the UWFT change management framework and standards.

RESPONSIBILITIES

Develop and Execute Change Management Plans:

  • Establish Organizational Change Management practices and process; drive consistency and utilize best practices.
  • Develop and execute a comprehensive, actionable, and targeted change management plan around changes to people, processes, and systems; apply a structured approach and methodology for people-side change including stakeholder analysis, coaching plans, communications, training, and resistance management plans.
  • Participate in business process workshops to understand the current and future business processes; assess the change impacts on the organization and roles.
  • Support organizational design: understand the current organization and roles, design the new business organization structure, and map roles to the new structure; realign finance policy to the new design.
  • Identify and assess risks, issues, and opportunities with impacts for stakeholders and work with HFS leadership to mitigate issues/risks.
  • Support the execution of change management plans.

Stakeholder/Change Network Coaching and Engagement:

  • Support and coach others on project team enablement, stakeholder management, communications, training/learning activities, job impact presentation, and business end user readiness and adoption, change networks, change impacts, change readiness, business readiness, and role mapping.
  • Inform and participate in business readiness; understand the impact of change, implement the approach to manage adoption and mitigate resistance.
  • Collaborate with the Training Manager to ensure training roles are adequately provisioned and assigned.
  • Foster an innovative, inclusive, and diverse team environment, promoting positive team culture, encouraging collaboration and self-organization.

Readiness Assessment and Measurement:

  • Conduct readiness assessments, evaluate results, and present findings in a logical and easy-to-understand manner to sponsors and stakeholders.
  • Create and manage measurement systems to track adoption, utilization, and proficiency of individual changes, and adjust change management strategies and tactics as necessary.
  • Support role mapping as needed to ensure all impacted end-users have the right access to the solution and drive culture change when needed to help teams be ready to embrace change.

Team Liaison:

  • Work with communications and training staff to develop plans and activities to support the people-side of change; support communication and training efforts at the unit level.
  • Partner with functional project team members to integrate change management activities into their project plans.
  • Support integrated communication plans utilizing a variety of communication methods depending on the needs of the stakeholder.
  • Support the development of leadership engagement plans.

POSITION COMPLEXITIES
Working across multiple channels within the Housing & Food Services environment, spanning disparate and diverse workgroups to move a unified organization through change.

IMPACT TO THE UNIVERSITY
Delays in process implementation and the success of implementation or change could result in lost productivity and/or revenues.

WORKING CONDITIONS
Maintains a regular office schedule with the expectation of additional work hours to achieve deliverables.

SUPERVISION RESPONSIBILITIES
None.

REPORTS TO
Chief Financial Officer, Housing & Food Services.

MINIMUM QUALIFICATIONS
Bachelor's Degree in communications, organizational development, HR management, behavioral psychology, business, or related field and 5 or more years' related work experience or an equivalent combination of technical education and experience (e.g., Master’s+3 years' related work experience, 9 years' related work experience, etc.)

Additional requirements:

  • Experience with organizational design
  • Experience conducting a learning needs analysis, developing a learning plan, and applying the knowledge to establish learning material
  • Demonstrated ability to coach and mentor others
  • Ability to influence others and move toward a common vision or goal
  • Possess strong interpersonal skills to establish and maintain positive working relationships with a wide array of stakeholders, colleagues, and staff
  • Demonstrated ability to work independently and as a member of a team; ability to work collaboratively with and through others.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

DESIRED QUALIFICATIONS

  • Experience with process development and system analysis
  • Understanding of university finance business processes
  • Experience with other software implementations, ERP and other business systems
  • Experience with change analytics and predictive analytics

CONDITIONS OF EMPLOYMENT
