Manager, Sales, and Event Services
The salary range for this position is $70,000 to $85,000. This is the pay range for this position that the Hotel reasonably expects to pay. Decisions regarding individual salaries will be based on a number of factors, such as experience, type of hotel experience, and education.
Responsible for managing all aspects of the social group sales process, event planning, and oversight to ensure a successful wedding or social event from initial inquiry to final billing and post-event follow-up. Works closely with the Events Director, third party planners, and approved vendors to execute events that meet/exceed client expectations. Develops trusted relationships with hotel operations teams to ensure client objectives are met while successfully balancing the capabilities of the operation.
Essential Functions
- Serves as onsite contact for all weddings and social events, personally greeting, overseeing group arrival, event transitions and departures, ensuring client satisfaction throughout, and coordinating with other hotel managers to ensure flawless event execution
- Manages deposits and billing, and post-event follow-up
- Schedules and takes the lead on all property visits and tours with prospective customers
- A flexible schedule, to including evenings, weekends and holidays is required, based on scheduled events
- Generates detailed ‘group resumes’, banquet event orders and floorplans for each event and reviews details with all relevant departments to ensure they have the information needed to operate a successful event
- Manage event rental orders as needed, e.g. linen through our local event rental partners
- Develop a strong understanding of local wedding venue competitors to best sell to our strengths
- Develop a strong understanding of all property features and offerings, including function and event spaces, accommodations, pool, restaurant, bar, in order to best position the hotel through the sales and planning process
- Develop strong understanding of all event menu items, wines and other beverages, and prices and able to guide clients through the selection process to ensure the outstanding culinary and service experiences
- Has clear understanding of all possible event space layouts, proper table set-ups, room capacity, hours of operation, price range, and other event details
- Participates in weekly Event Order meeting with Culinary team and Banquets
- Develops clear and concise written correspondence for interactions with clients, internal and external teams with emphasis on detailed accuracy for event orders
QUALIFICATIONS
- Three - five years of experience in catering and event management, preferably in an upscale hotel setting
- Excellent written and verbal communication skills
- Must be able to multi-task with attention to detail on several events at one time, while maintaining the highest standards of hospitality
- High school education required; 4-year college degree preferred
- Professional appearance and demeanor
- Exceptional follow through, attention to detail and sense of urgency
- Ability to make smart decisions that support both hotel and culinary operations and the catering/banquets function
- Ability to professionally represent the resort, and interact with clients in a polished, responsible, and timely manner
- Ability to communicate information to operational departments accurately and in a timely manner

- Delphi sales and catering system, OPERA, All Seated, Microsoft Office, WeddingPro
- Knowledge of Napa Valley wineries and off-site event locations
