Full description of the position

The Opportunity:

The Sales & Events Administrative Assistant position is critical to the success of our business from a financial perspective and a guest, employee experience. This position will work with every department on property as well as with our guests/customers throughout their journey with us from the inquiry and reservations stages to the execution of the program, or duration of their stay. The primary responsibility of this role will provide support for Hotel Sales (both Group and Travel Industry), Event Planning, and Event Sales handling very important information collected from our customers and distributed back to clients and the resort operations’ teams. This will require the knowledge and skill to work in multiple platforms and hotel operations. This role keeps the sales cycle moving while improving sales manager’s efficiency and productivity as well as nurturing the planning process and eventual execution of meetings and events.

Essential Duties:

The following is example of functions and tasks performed in this role with the expressed understanding that the responsibilities are not limited to this list and can change with the needs of the department and overall hotel operation:

Receive and respond to incoming telephone calls in accordance with Four Seasons Standards and assist with overflow calls for Catering, Food & Beverage, and Executive Office.

Prepare accurate written correspondence including letters, contracts, reports, schedule of events, and e-mails using MS Office Suite, Team and Outlook.

Complete distribution of Sales correspondence to the resort operating departments as required. Maintain the various Sales file systems, both electronic and paper, including Account Files, Program Evaluation Database, Golden Sales & Catering (Delphi).

Attend and participate in required meetings

Other duties as assigned

Who We Look For:

The ideal candidate will have:

  • Previous hotel/sales and events support
  • Previous phone experience and advanced phone etiquette skills
  • Ability to communicate well in English through verbal and written skills
  • Well organized, able to prioritize and multi-task in a busy environment
  • Proficient computer skills and knowledge in Microsoft Office products, Opera, Salesforce (or other CSM platform) and other programs as needed
  • Adaptable and able to learn new skills and tasks efficiently, and function as a team player
  • History of working in a team environment and developing working relationships
  • Schedule flexibility to accommodate to business needs
  • Strong understanding of confidentiality and ability to ensure date integrity.
