Our family-run boutique property management company holds a significant portfolio of apartments and condominiums in Bozeman and surrounding areas. We are currently looking to fill the position of Office Manager as soon as we find the right candidate. This role is central to our team’s efficiency and we are looking for a highly organized individual, with excellent communication skills (both oral and written) who can work under high pressure while keeping a positive spirit.
Duties and Responsibilities
The Office Manager will be expected to undertake the following duties and responsibilities:
i) Administrative Assistance
· Act as the primary point of contact for our company
· Answer and direct phone calls and emails in a timely professional manner
· Organize and schedule appointments
· Write and distribute professional email, correspondence memos, letters, text messages
· Develop and maintain a system for managing listings and vacancies
· Research and maintain competitive pricing lists for vendors and suppliers
· Provide general support to visitors
· Plan meetings, take minutes and follow up on actions with relevant parties as needed
· Work with management and other team members to improve office operations and procedures
ii) Office Coordination
· Establish and maintain a system to liaise with management and other team members to ensure smooth and updated flow of information at all times
· Organize and coordinate meetings and showings with tenants
· Brief and coordinate short term contractors as needed
iii) Leasing
· Follow up on leads and communicate with potential tenants, responding to their request for information
· Prepare and send out leasing documents for potential tenant as per property standards and regulations
· Keep residents informed of any changes to rental agreements or upcoming property issues
iv) Billing
· Following up and executing payables and receivables
· Reconciliation for fees related to common area maintenance
· Bank reconciliation
Skills and Qualifications
The Office Manager will require the following skills and qualifications:
· 3 years of property management experience required
· Excellent organization skills and ability to multitask to complete a variety of tasks
· Strong written and verbal communication skills (English/Spanish)
. Self-motivated and innovative towards improving company’s performance
· Excellent time management skills
· Flexibility to adjust to new tasks, priorities and requests in real time
· Strong interpersonal skills to interact positively and equally with owners, tenants, suppliers, vendors and other team members
· Leadership ability and the capacity to take initiatives to support the team in delivering effectively on its mission
· Resiliency to manage conflictual situations and work under pressure
· Attention to detail to ensure tasks are completed thoroughly and correctly
· Problem solving to tackle creatively and efficiently issues as they come up
· Business minded towards creating value for the company and its primary clients
· Knowledge of additional languages to be highlighted by candidate
Job Type: Full-time
Pay: $40,691.35 - $49,004.64 per year
