Department Summary
The University of Oregon is in the process of creating a shared services model for human resources across many areas of our campus. The Provost’s Administrative Shared Services Team (PAST) is a new shared service unit within the Office of the Provost (OtP) portfolio.
The Office of the Provost (OtP) upholds, provides leadership on, and carries out the academic mission of the University. In service to this mission, OtP promotes and sustains the highest standards in teaching, research, and service; fosters and advocates for faculty; promotes a respectful work environment, equity and inclusion, and a family-friendly workplace; supports and coordinates matters that pertain to faculty and academics, including hiring, retention, promotion, and tenure processes; and advances university outreach to the community, academic extension, and internationalization.
Within the Office of the Provost, the Provost’s Administrative Services Team (PAST) will provide business and administrative services within the Office of the Provost portfolio. PAST provides high quality service to a diversity of units in the Office of the Provost, in the areas of: human resources, budget and finance, payroll, purchasing, contracting, travel, accounts payable/receivable, and grants management. PAST will ultimately provide administrative services for several organizations within the OtP portfolio including, for example: Division of Global Engagement; Environment Initiative; Jordan Schnitzer Museum of Art; Museum of Natural and Cultural History; Office of the Provost; Sport and Wellness Initiative; Undergraduate Education and Student Success; and University Libraries.
The units supported by PAST constitute a large business enterprise consisting of more than 1,500 employees and total operating expenditures of more than $73.5 million, all funds. PAST itself is projected to have an estimated 16 FTE.
Position Summary
The Associate Director of Business Operations leads the business operations of the PAST shared services team. They are a strategic leader and partner for the units that PAST serves. Directing a diverse team of accountants, accounts payable and contract specialists, travel coordinators, and payroll, the ADBO's team works together to provide comprehensive business needs for 9+ units on campus.
The Associate Director will work with client unit leaders and the shared services business operations team members to develop workflows, processes, forms, and systems for all business operation processes and transactions. They will audit transactions to ensure accuracy and ensure client units receive a high level of customer service for all their business operations. They are responsible to ensure accuracy of financial transactions, and compliance with all UO policies and procedures for accounting, travel, purchasing, and payroll.
This position will work with over $70 Million of combined funding from various sources including foundation, grant, and general funds. This includes a $43M endowment for the libraries, among other large restricted funding sources for various units. They regularly perform complex financial, budgetary, and accounting analysis and provide consultation and recommendations to a variety of supported unit leaders. The information they provide will help inform funding, and process decisions for their units and the shared services team.
This position is a valued member of the PAST leadership team and participates in strategic planning for the unit.
Minimum Requirements
- Bachelor’s degree or an equivalent combination of skills, experience, and education.
- Four years of experience in business operations, financial management, accounting and/or budgetary
- One years’ experience supervising staff or serving in a lead work capacity.
