Job Description

Responsibilities:
Financial
- Demonstrate ability to understand financial goals, operate asset in owners’ best interest in accordance with Policies & Procedures set forward.
- Maintain accurate records of all community transactions and submit on a weekly basis (i.e., rent rolls, availability, delinquency reports, renewals, move in/move outs, traffic source etc.)
- Ensure that all rents and late fees/return check charges etc. are collected, posted and deposited daily.
- Generate necessary legal action, documents and process in accordance with Keystone, state and county guidelines.
- Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificate of insurance (all repairs requested over $500.00 must have three (3) quotes attached.
- Ensure that A/P invoices including Security Deposits are submitted to Team Accountant for payment. Petty cash funds must balance and be available upon request for audit.
Leasing
- Ensure property is leased to fullest capacity (95% or greater). Renewal letters prepared sixty (60) days prior to lease expiration dates.
- Utilize marketing strategies to secure prospective residents.
- Confirm that leasing staff gather information about competition in the area and keep in organized file.
- Continually monitor and analyze traffic logs, budget guidelines, renewal information, marketing data etc., to be able to give up-to-date and proper information when requested.
- Represent Keystone Group and Community in a professional manner at all times.
Administrative
- Prepare and/or implement procedures and systems within Keystone guidelines to ensure orderly, efficient workflow.
- Confirm all leases and corresponding paperwork are completed and input into Real Page/One Site accurately and on a timely basis.
- Ensure current resident files are properly maintained and secure.
- Ensure all administrative paperwork is accurate, complete and submitted on a timely basis.
- Lead emergency team for community. Ensure proper response and handling of all community emergencies with team, residents, buildings etc. with company guidelines to minimize liabilities (i.e., criminal activity on community, employee/resident injuries, fire, flood, freezes, mold & mildew, etc.)
Resident Relations
- Address all resident concerns and requests in a timely manner to ensure resident satisfaction with management.
- Develop and/or implement resident retention programs (i.e., resident functions, special promotions, resident portal, etc.).
- Ensure distribution of all company or community issued notices (i.e., weather, ice, emergencies, etc.).
Additional Requirements
- Perform duties normally associated with supervisory position, such as interviewing, training, evaluating and disciplinary counseling of all on-site employees, under the direction of the Regional Manager/Director of Property Management.
- Review all Velocity Prebill reports.
- Attendance is an imperative job function.
- Employees must fulfill the performance standards of this position and comply with policies, rules and procedures of Keystone, including those set out in in the Employee Handbook or otherwise communicated (verbally or writing) to employees.
Prerequisites For Success
- Knowledge of Fair Housing regulations.
- Ability to communicate efficiently with residents, prospective residents, and team.
- Proficient in computer programs, including Microsoft Office, Real Page and Lead to Lease.
- Organizational aptitude to keep detailed records and a clean filing system and work area.
