Full description of the position

Purpose of Position: To assist the Director and Sales/Catering Managers and any other managers with clients and hotel personnel in the handling of sales/catering accounts and guest requests. To process written correspondences accurately and in a timely manner. To answer telephones in accordance with Hilton and Marcus standards.

Responsibilities:

  • Assist the General Manager, Director of Sales, Director of Revenue and Sales/Catering Managers with administrative tasks.
  • Run daily / weekly reports as assigned: Arrivals, Reservations, Future Rooms Sold, On the Books reports, Prospect & Tentative etc.
  • Prepare all VIP amenities, service vouchers, menu cards, as well as, transportation information, as described in the Group Resumes and welcome letters to our internal staff so that they can hand to the guest upon arrival.
  • On a daily basis, prepare meeting room door signs, paper / digital reader boards with in-coming group names, as well as, prepare the change log and distribute internally.
  • Send surveys, thank you letters and award HHonors points on a weekly basis for groups and catering events. Distribute returned surveys for staff’s review.
  • Delphi proficient in order to assist with running reports, assigning leads and for regular Delphi maintenance.
  • OnQ proficient to assist with individual reservations, building group blocks, group masters and processing rooming lists for the Director of Catering / Event Management.
  • Responsible for the sales contract turnover process from Sales Managers to Director of Catering.
  • Promptly answer telephone calls following Hilton standards using clear and positive English communication.
  • Preparation and distribution of accurate memos, contracts, resumes, room requests and amenities to relevant departments throughout the hotel.
  • Ordering of all offices supplies and paper products as well as sales kits, giveaways and maintaining inventory or adequate supply.
  • Block show rooms, suites and assist with any site preparations.
  • Conduct hotel site tours with guests when Sales Managers are not available for walk-ins.

Requirements:

  • Thorough knowledge of Microsoft Word, Outlook and Excel and possess the ability to learn new computer programs quickly.
  • Ability to be highly motivated, organized, accurate and detail oriented.
  • Ability to listen and extend assistance in order to resolve problems.
  • Good English written and verbal communication skills with the ability to maintain strong customer relationships.
  • High School Diploma or equivalent required. College degree preferred.
