Description
Currently accepting applications for a Property Administrator to play a key role on our property management team. The property administrator is responsible for coordinating building inspections, as well as repair and maintenance work. This position is responsible for maintaining comprehensive records and developing strong working relationships with the tenants, management team, maintenance personnel, and outside vendors. The property administrator will also have some responsibilities regarding general administration, reception, customer service, and marketing, including social media.
Responsibilities
- Serves as point of contact for tenant service calls, maintenance requests, and issues
- Directs tenant service requests to the appropriate staff or outside vendor for resolution
- Assist maintenance lead in dispatch of maintenance techs and planning of maintenance projects
- Responsible for issuing and obtaining approvals for tenant work order requests
- Generate work orders for: requests, inspections, and recurring maintenance
- Conduct follow-up to ensure work has been completed
- Closing and processing/billing work orders for residential
- Ensure maintenance is completing work orders in real time/labor hours entered properly
- Hold monthly maintenance meetings in conjunction with maintenance lead
- Maintain comprehensive and detailed records
- Must diligently support and maintain good working relationships with all parties
- Assists property management with day-to-day operation of the properties
- Responsible for requesting and maintaining Insurance Certificates and W-9 forms
- Maintain and track excel sheets for maintenance
- Maintain vendor data and building/ maintenance/ emergency reference materials
- Assist with billing and other tenant charges in compliance with lease agreements
- Maintain key cabinets for all properties and order key core replacements
- Track and process consumer collections
- Coordinate and handle quarterly and annual fire/life safety and general backflow inspections for commercial properties
- Complete general administrative tasks assigned including filing, answering calls, issuing notifications to tenants, greeting visitors and tenants, and cover front desk duties when necessary
- Prepare advertising for residential properties in correlation with regulations/guidelines
- Assist with FaceBook posts for company

Pay: $30,000.00 - $35,000.00 per year

Education:
- High school or equivalent (Preferred)
Experience:
- Customer service: 2 years (Preferred)
License/Certification:
