Based out of Boston, MA, this role provides analytical, administrative and customer service support for SK-II (luxury skincare) US Sales and Operations team. The role reports into the US Sales Director but directly supports the wider sales and operations organization.
Candidates should show a strong ability to organize, prioritize, support, and deliver on-going projects and processes for the team.
Candidates should have excellent technical skills; including very proficient in Excel and ability to understand various systems (e.g.: SAP).
Should have proven ability to work with multiple data sources to gather, organize and analyze data for standard reports and ad hoc analytical projects.
Technology skills should also include Microsoft Office, Intermediate Word and PowerPoint. Need to possess a “can do & flexible attitude” and the ability to handle multiple responsibilities and projects (both large and small), set priorities, and manage time and deadlines for the team.
Strong interpersonal and communication skills are required as well as the ability to be flexible and flow with the needs of the business team.
Need to be comfortable working with limited on-site supervision and with variable time zones across the US.
Key Deliverables
Sales:
Business recaps: Retail sales - summarizing data and communication. Stewardship controls; budget tracking, performance verification Go-to-market / sales project tracking Process co-ordination for store updates
Operations:
eCommerce: Inventory tracking Product supply: Order processing
Others: General administrative support; Customer meeting organization, Internal meetings
Key Responsibilities
Sales
Data downloading and report creation
Retail selling trackers compiled and provided to management and selling teams
Budgets: monthly processing, tracking (actual/budget/forecast).
Manage performance verification / logistical requirements for sales projects
Co-ordinate in-store updates
Leverage technical mastery of our systems/software to facilitate business needs
Work with customers' systems for data sharing as needed.
Design and execute tracking reports for Internal/External Customers
Coordinate meeting preparation and logistics
Track, allocate, and implement operating budgets
Interface with multi-functional resources to implement organizational changes to customer, volume, and budget alignment
Execute special projects for team as needed. Including anticipating/proposing solutions.
Lead administrative support to improve internal cross-functional communication.
Operations:
DTC Market Availability and Customer Service Support.
PS contact for supply availability for SK-II.com business.
Owns Inventory for SK-II.com (brand store)
Owns SK-II.com customer returns to analyze and upload to system.
Customer Service Support: Back up to Order Processing and Delivery Creation.
Skill Set Requirement
Communication – Excellent written and verbal
Technical:
Excel: proficient+
Outlook, Word and PPT
Systems: SAP knowledge preferred (if not then proven ability to learn/lead system management)
Analytics: ability to provide insights/summaries to data gathered
Organizational & task leadership: excellent at project management and/or organizing a team to meet objectives/deadlines
Self-directed
Collaborative: ability to work successfully within a very diverse organization (locations, industry, business needs)
Scheduling flexibility: willingness to take evening/night calls (Asia based HQ)

Qualifications
High School Diploma, GED or equivalent
Proficient using Excel, including advanced formulas and macros
Ability to work independently and manage multiple priorities in a team environment
Strong focus and attention to detail
Strong communications (written and oral) and interpersonal skills
A technical aptitude and comfort that allows you to learn additional software applications
Starting Salary Range: $71,700 - $102,400.
