OVERVIEW: The Inside Sales Representative is responsible for supporting the company sales by answering existing or prospective customer calls, quoting, following up on quotes, processing purchase orders, and performing customer service and project management. The duties described herein are not all-inclusive and may be supplemented.

Reports To: Inside Sales Manager

Key Internal Relationships: Sales Management, Plant Manager, Sales Representatives, Production Manager, Quality Manager, Purchasing Manager, Product Teams

Position Goals:

• Identifies revenue opportunities with existing and prospective customers through communication, programs, and other activities
• Prospects, qualifies, and generates sales within the company’s established trading partners
• Communicates with prospects to identify appropriate contacts, qualify and drive leads through the sales pipeline
• Responds to requests from customers for information in a timely manner
• Remains knowledgeable and up-to-date on changes and developments
• Keeps management informed of all activity, including timely preparation of reports
• Projects a professional and knowledgeable image to all customers and colleagues
• Fosters team building and inter-company member support

KEY TASKS:

• Handling customer calls: coordinating technical assistance, estimates/quotes, order status, assistance with replacements, and invoice inquiries
• Preparing detailed, accurate quotes, and calculating estimated freight rates when asked
• Following up with customers after the quotation, updating Management of project status and competitive information
• Filing quotes daily / weekly, updating Quote Log when required
• Communicating with Sales Reps, tagging them to projects, e-mailing leads, and getting quote and project updates when appropriate
• Entering Sample orders, highlighting to Purchasing if special materials are required
• Preparing full Submittal Packages when required
• Assisting Accounting with Credit Checks, Credit Applications, and Lien info as needed
• Alerting Management of LOIs received
• Processing Purchase Orders, including but not limited to:
• Comparing purchase orders to quotation for accuracy
• Optimizing polycarbonate and other raw materials to approve quoted price, as required
• Alerting Production Control, Quality and Management of any specialty materials or circumstances associated with the purchase order or project
• Following up with customers on PO’s that require additional details prior to processing
• Obtaining customer acknowledgement when necessary
• Preparing Production Job Sheet documents to process customer orders into production
• Checking orders prior to sending to production control
• Communicating customers their estimated ship dates when appropriate
• Documenting Deliveries, Shipments and Reissues
• Maintaining open & closed order folders when required
• Providing superior Customer Service and Project Management to customers
• Assisting with Invoice inquiries
• Managing Credit Memos
• Attending production meetings and checking the status of orders in production
• Processing Customer Concern Forms and following through to completion
• Training / Assisting new hires as assigned and/or required

Training and Experience (position requirements at entry):

• Minimum 5 years inside sales experience
• Demonstrated proficiency of Microsoft Office programs: Excel, Word, Outlook
• Strong Mathematical/Geometry Knowledge, Engineering/Drafting Experience
