The COE’s Development Office is part of the central administrative unit for the college and works to create and foster relationships with alumni and donors to secure funding in support of the college's faculty, student, and program needs. The COE’s development team includes the Director of Development II, the Director of Stewardship and Donor Relations, and the Executive Assistant to the Director of Development.

The COE Development Office is also part of University Advancement. University Advancement (UA) supports the UO’s mission of providing exceptional teaching, discovery, and service by strategically positioning the university to create awareness, build long-term relationships, and secure resources that increase understanding and further its aims. The division consists of approximately 200 employees primarily working out of Eugene, with offices in Portland and Bend. Position Summary

The Executive Assistant is an essential partner to the COE Director of Development II (DOD II), providing high-level executive support and acting as a liaison with the COE Dean’s Office, COE Leadership Team, Department Heads/Program Directors, and other University Advancement leadership. The Executive Assistant manages workflow through the COE Development office, contributes to the management of daily operations for COE Development and staff, and assists in implementing the management and operational directives of the DOD II, acting on their behalf when needed. This position serves as the primary contact for matters related to the DOD II's schedule and activities.

Using independent judgment and comprehensive knowledge of the University of Oregon (UO), its programs and personnel, and the complex issues the university faces, this position regularly interacts with a variety of stakeholders to advance the UO's interests.

The Executive Assistant regularly acts as a representative of the UO. This position interfaces with internal and external constituents, as well as communicates with other campus administrative offices, university leadership and administrators, and other stakeholders. This position works closely with colleagues to identify opportunities to connect with donors, alumni, and friends of the University of Oregon (UO) and advances COE Development strategy by engaging new audiences and connecting campus partners.

The Executive Assistant must be highly organized and detail-oriented, able to implement organizational policies and practices, exercise independent judgment in responding to emerging and evolving issues, and have strong written and verbal communication skills. The Executive Assistant has a high level of discretion and skill in managing sensitive and confidential information about donors, volunteer leaders, elected officials, and others.

The Executive Assistant must be able to work independently, proactively coordinate projects and schedules to facilitate the work of the COE Development Office, and ensure smooth operations for the office, including budgetary and fiscal management.

This position is supervised by the DOD II and will assist with approximately six events a year that are in the evenings or on weekends.

This position would be a Flexible, Local job, based at the University of Oregon in Eugene, and may be able to work remotely on certain days of the week.

Minimum Requirements

One year of experience performing administrative duties in support of agency projects or programs. Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

  • Proven ability to handle highly sensitive and/or confidential information.
  • Excellent organizational, problem-solving, and time management skills, including the ability to prioritize multiple tasks effectively, anticipate needs and promote flexibility in a team environment.
  • Proficiency with Word, Excel, PowerPoint, and Outlook (or similar scheduling/calendar program); ability to work with workplace collaboration tools such as Microsoft Teams and OneDrive.
  • Excellent writing, editing, and verbal communication skills; attention to detail.
  • Ability to be proactive and set priorities that facilitate workflows and promote effective follow-up.
  • Ability to interact, communicate, and work effectively with individuals, recognizing and respecting the many and varied identities of each person.
  • Commitment to promoting and enhancing diversity, equity, and inclusion.

Preferred Qualifications

  • Experience supporting an executive and coordinating travel.
  • Experience with Advance or similar CRM platforms.
  • Experience in a higher education setting or complex organization.
  • Familiarity with the field of fundraising.
  • Experience providing customer service to donors or clients.
  • Experience with project management.
