What you’ll do:
The Executive Assistant operates with independent judgement to provide executive level support to the Group Head of Sales, Group Head of Risk Management and Group Head of Operations. This individual performs a wide variety of support and administrative tasks and projects in support of the Sales, Risk, and Operations Groups, proactively identifies and addresses administrative issues and opportunities, and communicates effectively and cultivates relationships with colleagues and external stakeholders.

** Core working hours 7:30 a.m – 4:30 p.m. Position requires in-office support Monday through Thursday.**

  • Provide excellent, first-class customer service to 3 executive leaders across the Sales, Risk, and Operations groups
  • Proactively identify and address administrative issues and opportunities, and effectively communicate solutions
  • Enjoy a hands-on experience, working in our beautiful downtown office Monday through Thursday.
What you can expect:
  • Acts as a key partner to the various Group Heads, providing clear communication and acts as the main point of contact among executives, employees, clients, and other external partners.
  • Without direction, manages and prioritizes the workload of administrative responsibilities and coordinates the workload between resources, which include meetings, travel, conferences and departmental activities.
  • Independently manages meeting logistics that includes, but is not limited to collecting weekly updates from managers, reserving conference rooms, setting up audio visual, catering orders and registration and greeting guests.
  • Manages and coordinates the Group Head schedules and calendars, including conference room management and regular reporting on recurring meetings.
  • Provides meeting support, which includes agendas, creating schedules and circulation of materials, etc.
  • Plans, organizes and coordinates various activities related to presentations and reports, including creating and editing presentations.
  • Responsible for collecting information from various sources and combining and consolidating the information into a presentable format.
  • Main point of contact to organize all group gatherings (including training, lunch and learns, etc.).
  • Champion process re-engineering by challenging the status quo of current processes and suggesting improvements or alternatives.
  • Manages expense reporting for the Sales, Risk and Operations Groups. Gathers all receipts, prepares, processes and submits expense reports and purchase orders on an ongoing basis. Summarizes payment status in executive-level reporting.
  • Manages the processing of all vendor invoices monthly and resolve any discrepancies.
  • Collaborates with colleagues and other departments in order to complete work effectively.
What you’ll bring:
  • Bachelor’s degree or related experience
  • 7-10+ years experience supporting senior / executive level management
  • Proficient in Microsoft Office Suite, including Microsoft Office, PowerPoint, Outlook, Excel, and Adobe Acrobat
  • Experience with Microsoft Teams and Workday preferred
  • Experience exercising discretion and confidentiality with sensitive company information
  • Experience putting together executive or board level committee packages
  • Detail-orientated with the ability to prioritize and manage competing priorities
  • Excellent Project Management skills
  • Highly organized and detailed oriented
  • Able to communicate clearly and concisely with a high degree of professionalism. Excellent communication skills, including telephone and writing skills.
  • Highly motivated, proactive, approachable, resourceful, strong work ethic, flexible, exercise good judgment, sound decision making and open to feedback for growth and development.
  • Self-starter, ability to multi-task and attention to detail is critical
