As a Sales Support Coordinator you will be responsible for answering sales calls, assisting customers with the purchase of used equipment, and updates to the lead/call system. You will also be responsible for assisting the Branch Manager and sales teams with appraisals, warranties and processing invoices for trade-ins and used equipment sales, in addition to ensuring accuracy and timely data entry related to used equipment inventory, invoicing and reporting.
This position will be located at the Ankeny, IA branch for Aspen Equipment and reports to the Branch Manager.
ESSENTIAL JOB FUNCTIONS:
- Assists with appraisals, warranties, and processing invoices on trade-ins and used equipment sales.
- Purchase items and parts for builds as needed.
- Ensure all necessary inventory is in stock for the product being built.
- Communicate with project managers on items to be built and help close out and deliver the built product to customer.
- Reviews inventory reports for used equipment for accuracy.
- Assists with invoicing preparation on sale of new and used equipment.
- Travel to other branch locations as needed to help with transfers or other needs.
- Other duties as assigned by management.
JOB REQUIREMENTS:
- High School Diploma or GED with a minimum of 3 years of experience in an administrative or clerical role. May consider additional education in lieu of experience. Bachelor’s degree preferred.
- Experience in construction or heavy equipment industry strongly preferred.
- Proficiency in Microsoft Office Suite such as Excel, Word, PowerPoint and Outlook.
- At least 1 year of experience with invoicing and billing preferred.
- Must be able to read and interpret documents such as blueprints or schematics.
- Must be highly organized and detail oriented with the ability to multi-task.
- Must be able to work with people across all levels of the organization, and possess excellent communication skills, both written and verbal.
- Travel may be required 5% of the time or less, based on business conditions. This travel would be to other Aspen branches as needed.

Specific vision abilities required by this job include close vision, distance vision, color and peripheral vision, depth perception and ability to adjust focus.
