Position Description
Position: Sales & Rooms Manager Department: Sales
Reports to: General Manager FLSA designation: Exempt
Position Summary:
Leading the Sales and Operations effort for a small boutique hotel. Your daily sales activities will involve outside sales calls, obtaining new accounts, conducting site tours, and networking with the local business community to drive sales for your hotel. You will also be accountable for forecasting, creating promotional materials, and constantly communicating with your General Manager. When not focusing on sales you will be helping to manage the operations side of the hotel including Front Office, F&B, Housekeeping and Maintenance. You will be spending about 70% of your time on sales and 30% of your time on operations depending on the week.
Primary Responsibilities:
· Actively solicit, qualify, and book new and repeat business in all market segments.
· Achieve monthly and annual revenue goals.
· Develop a full working knowledge of operations and hotel policies.
· Timely responses to inquiries and leads.
· Plan, upsell, and detail meetings/functions with the client, including space requirements, function agenda, equipment, menus, decor, etc. Suggest alternatives as appropriate.
· Accurately produce and/or review all sales contracts, rate agreements, and/or banquet/catering event orders, ensuring minimum revenues are met..
· Coordinate and communicate all details of assigned groups to all supporting departments in a professional, thorough, and timely manner by using Resumes, Event Orders, and internal correspondence effectively.
· Conduct pre-planning site inspections and assist in the sales process where required.
· Ensure that function setup meets or exceeds customer expectations by working closely with each group's point of contact to determine their needs.
· Conduct post-group reviews with customers and actively solicits re-bookings prior to the client’s departure. Communicate customer feedback to the hotel department heads through a post-conference report.
· Regular thank-you calls to show appreciation to top accounts and to make sure we are meeting guest expectations.
· Attend daily/weekly/monthly meetings and any other functions required.
· Prepare Weekly Sales Activity Reports for submission to the General Manager. Reports will reflect all key catering & sales activities for the period, special projects, and recaps of ongoing sales efforts.
· Handle multiple changing priorities, varied guests’ needs and demands, last-minute changes and contract and catering alterations.
· Perform additional duties as requested by the General Manager.
- Assist in Hotel Operations including: guest relations, front desk, housekeeping, maintenance and Food and Beverage.

· Promote a culture of exceptional hospitality
· Develop and maintain exemplary relationships with outside vendors and utilize those relationships to maximize profitability and service
· Establish a strong Social and Corporate client base.
· Attend trade shows and industry networking events as assigned by the Hotel.
· Build revenues by representing the hotel in assigned industry organization memberships.
· Maintain professional relationships with customers in order to gain repeat business and penetrate business opportunities that each of them may control.
· The Sales & Operations Manager will know individuals by name and establish a professional rapport with frequent guests to develop an awareness of generated volume and special requests and/or needs.
· Stay ahead of industry trends within all market segments, including hotel competition’s strengths and weaknesses, to improve sales strategies and achieve goals continually.
· Present a well-groomed image and dress appropriately in business attire every day.
· Demonstrate positive leadership characteristics which inspire other team members to meet and exceed standards.
Specific Job Knowledge, Skill, and Ability
· Experience with planning corporate meetings and events, weddings, and other social market events
· Proficient with Salesforce – Delphi Software Program
· Proficient in Outlook, Word & Excel
· Experience with Property Management Systems, RFP Programs and Lead Generating Tools
· Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to collect accurate information and resolve conflicts.
Qualification Standards
Education:
College experience preferred.
Experience:
Outside sales experience in the hotel industry required.
Licenses or Certificates:
No special licenses required.
Grooming:
All employees must maintain a neat, clean, and well-groomed appearance.
Other:
Additional language skills helpful.
