Job Description
POSITION: Property Manager II (“PM II”)
CLASSIFICATION: Full-time; Per Hour
REPORTS TO: Facilities Director
Position Summary:
This position is reports to the Facilities Director and is responsible for project management and client communications. The PM II will be managing buildings, properties and caretaking units, and be responsible for setting and overseeing projects, performing vendor oversight, and client communications.
Essential Duties:
Facilities Maintenance
Basic Work Week: Tuesday through Saturday, subject to change
Perform and manage regular property checks of managed, client facilities
i. Conduct daily maintenance checks/ walk-throughs & filling out property management reports for managed properties
ii. Conduct quarterly & annual checks for systems and larger components. Evaluate condition, evaluate solutions, obtain quotes and resolve any issues timely
Assess and facilitate property management needs for managed properties and systems. Use MaintainX to customize tracking of property needs and maintain maintenance logs.
Work with Accountants on budget preparation for maintenance and capital items for managed properties
Perform site checks on construction projects, work with contractors and document progress with photos and notes in MaintainX. Prepare progress reports and summary periodically.
Handle check-ins, unit management, and owner communications for clients. Including grocery lists and ensuring property is ready for arrival.
Initiate and handle needed communications, both written and verbal, with clients, Boards and unit owners. Must be professional, knowledgeable and customer service focused.
Identify problems at managed properties through detailed analysis of conditions and issues, recommend solutions, obtain quotes, seek approval of quotes, engage vendors, track progress and fully oversee projects. Must own entire process for vendor projects from identification of issues through completion of work.
When evaluating leaks, performing analysis to determine cause, communicating with affected parties, determining responsibility and owning the process from identification to conclusion of the issue.
Perform maintenance tasks including, but not limited to, replacing interior and exterior light bulbs or small area painting.
Respond to emergency situations during normal business hours, such as bears getting into trash, leaks and fire alarms
Clean garage areas seasonally with garage sweeper
Oversight and communications with outsourced vendor maintenance and custodial services:
- Ensure managed properties and equipment in a clean and orderly condition and performs routine cleaning and inspections
- Vendor snow removal and landscaping to ensure quality work
- Minor repairs (drywall, adjusting doors, etc.)
Oversee fire equipment inspections performed at managed properties
Periodic meetings with clients to review conditions of managed properties
Act as initial point of contact for maintenance related inquiries for managed HOAs, properties and caretaking units
Optional: Emergency on-call responses outside normal business hours 1-2 days per week (fire alarms, leaks, and other emergencies).
2. General & Client Services
Tracking time spent on different projects for billing purposes using MaintainX software on phone or tablet and working with Facilities Director on monthly billing detail
Use MaintainX software to efficiently track Assets and Locations notes at all managed properties
Represent Telluride Consulting, LLC in a positive and professional manner by maintaining positive relationships with clients, vendors and staff
Maintain professional attire (uniform) and communication at all times.
3. Other Duties as Assigned
Qualifications:
- High School Diploma or General Education Degree (GED) required.
- Proven strong client communication experience is required. Ability to handle customer service inquiries and oversight of vendors in a professional manner.
- Preferred 2 years experience in Construction or related field.
- Ability to work independently with little or no supervision.
- Ability to determine best scope for repairs and maintenance and seek & evaluate quotes from vendors independently
- Must be able to operate garage sweeper equipment and other tools as required.
- Ability to lift up to 80 pounds
