Position Overview – The General Manager serves as the company's primary representative to the tenants and the public. He or she has direct responsibility for the day-to-day operation and performance of the property. The General Manager is the principal supervisor responsible for implementing all of the policies and procedures established by the company. The General Manager also has a thorough understanding of (and ability to manage) mechanical systems, construction practices, preventative maintenance, and government regulations. This position requires a comprehensive understanding of operations methods and understands the need to increase profitability and will keep common area costs under control. Administers the physical operations of the property and oversees general and preventative property maintenance, construction, public safety, janitorial, and other contracted services. This position is also responsible for forecasting property expenses, managing capital projects, preparing operational reports, assisting with specialty leasing and marketing programs, and identifying and resolving Human Capital issues in conjunction with VOP policies. This position will focus on fine-tuning the property's operational methods while improving Net Operating Income (NOI) in collaboration with the VOP leasing partner and VOP corporate personnel.
Primary Accountabilities/Responsibilities:
- Supervise and administer all "deal-driven" tenant and landlord construction and CapEx projects. Be able to leverage the knowledge of the property to assist tenant coordination with as-built conditions, available utilities, and any known constraints. Review tenant (or landlord) work drawings, including MEP/FP plans, enforcing the execution of LL-approved plans during tenant build-out.
- Effectively build and maintain relationships with the internal team and all external contacts, including, but not limited to, vendors, suppliers, tenants, contractors, contracted services, local authorities, local code officials, etc.
- Effectively manage vendors by thoroughly understanding all applicable service or maintenance contracts and maintaining open communication with vendors through regular meetings. Administer all required insurance certificates and invoicing. Ensure that our vendors incorporate VOP cultural values.
- Hiring, supervising, and training all property personnel.
- Maintain the business office and maintenance control center.
- Supervise all office procedures, reports, and systems in accordance with policies and procedures established by the company.
- Create the annual expense budget within defined guidelines and implement and forecast operating expenses to that budget.
- Create, update, and manage a five-year capital plan for the property. Administer CapEx requests and annual capital plan for implementation and completion on time and on budget.
- Evaluate market comparisons and all new construction and report all changes in rent, concessions, incentives, and other amenities offered by competitive properties, which General Manager is made aware of.
- Understand and follow VOP policies for bidding, identify qualified bidders, manage all construction activity to meet plans and specs., and complete on schedule and on budget.
- Monitor the financial performance of the buildings to ensure adherence to the current budget.
- Contract, review, and process payments for goods and services as directed.
- Supervise rent collection, bank deposits, and collection of delinquent accounts.
- Assist in creating, supervising, and implementing the marketing program.
- Assist in the annual capital improvement process as needed, including bidding and supervision of work.
- Understand any existing or implement new technology. Ensure proper maintenance of all BAS systems including, but not limited to, lighting controls (BMS / EMS), HVAC, fire/life safety alarm systems, irrigation control, vertical transportation, electrical distribution/wiring and lighting, and plumbing (interior & exterior).
- Supervise and direct the scheduling of all preventative maintenance, repairs, services, grounds maintenance, HVAC maintenance, painting, cleaning, and other maintenance to efficiently operate the property.
- Have a complete understanding of what drives utility consumption and demand, all parts of a utility bill, utility rebates, new technologies, and fostering a good relationship with the local utility representative.
- Handle tenant complaints and public relations problems.
- Inspect the property daily for cleanliness, misuse of the property, and safety hazards.
- Supervise & maintain risk management and emergency planning procedures.
- Administer all state and federal required reports and safety documentation.
- Inspect vacant units for market readiness prior to move-in and inspect for damage after move-out.
- Other duties as assigned.
Requirements for General Manager:
- Must have at least five years of experience working as a General Manager and a minimum of ten years of property management experience in a large commercial office building.
- At least five years of project/construction management experience.
- Knowledge of commercial building practices and systems, HVAC, plumbing, and electrical systems.
- Must have excellent organizational, analytical, verbal, and written communication skills.
- Proven ability to be flexible, prioritize and manage multiple projects, as well as solve problems in a timely manner.
- Excel, Word, and computer skills are required.
- Working knowledge of Yardi software is preferred.
- RPM/RPA and broker designations are a plus.
- BA or BS degree required.
- Must possess a current and valid driver's license.
