Full description of the position

Saint Joseph's College of Maine is hiring for the position of Internal Events Coordinator & Campus Liaison!

POSITION DESCRIPTION:

This position will support the Conference and Events Division by:

  • Providing direct oversight of all internal/on Campus events
  • Serving as a Liaison between internal departments and outside vendors to ensure the success of events
  • Serving as the primary administrator of the events software
  • Effectively managing Event employees
  • Assisting with developing new College event initiatives

MINIMUM REQUIREMENTS:

  • Bachelor's degree is preferred or equivalent experience in the hospitality, sales and/or business
  • Two or more years experience in a hospitality field with both administrative and service responsibilities, is required
  • Possess a valid driver's license

ESSENTIAL DUTIES:

Provides direct oversight of agritourism events by:

  • Serving as the primary point of contact after a client contract has been signed
  • Point of contact for internal events, including major campus-wide events
  • Contracting room blocks, events space, collection of payment, creating BEOs, placing department work orders, and maintaining all details start to finish
  • Developing event timelines, packing sheets, setup and breakdown plans, and floorplans
  • Providing onsite and logistical coordination with internal event contacts
  • Overseeing setup and breakdown, opening and closing of facilities, prior to and after, each event
  • Coordinating with food service to ensure appropriate menu, setup, and staffing is available for catered events

KNOWLEDGE, SKILLS, EXPERIENCE:

  • Strong knowledge of computer programs, including Microsoft Word, Google Platform, Outlook, Excel and Web Access; online booking platforms is a plus
  • Strong communication skills, both verbal and written, in a sales environment
  • Ability to interact effectively with faculty, staff, students and clients
  • Demonstrated organization and time management skills, including the ability to effectively prioritize tasks
  • Must demonstrate teamwork skills and a willingness to help others
  • Possess a positive attitude to foster a cohesive working environment
  • Proven leadership and managerial skills
  • Proven training, coaching and mentoring abilities
  • Basic knowledge of food and beverage products and presentation of food and beverage items
  • Extensive knowledge of meeting room capacities, banquet set-ups, audio/visual equipment
  • Ability to pass an MVR and complete fleet driver training
