How You'll Contribute to the Team
The Operations Manager leads all campus-level property management employees and the day-to-day operation of property and facility management of resident halls. This role will be responsible for implementing and executing a successful turn plan. The ability to lead a team of employees and contractors to produce quality work in a timely and efficient manner, while providing residents an exceptional customer experience and quality living environment, is at the forefront of this role.
Primary Responsibilities Include:
- Oversee facilities maintenance, housekeeping, and service contracting at assigned location, ensuring compliance with standard operating procedures and quality standards.
- Work directly with the Regional Operations Manager and functional leaders to ensure the financial success of the portfolio by managing portfolio operations in support of goals, milestones, budgets and yearly deliverables.
- Participate in management committee meetings and work with campus leadership to identify institutional goals and objectives.
- Efficiently and effectively schedule maintenance personnel, work orders, and make-ready activities including move-in/move-out inspections, as well as the 24/7 emergency maintenance schedule.
- Solicit outside bids for services and submit to Regional Operations Manager for review/approval.
- Coordinate and supervise all work performed by outside contractors.
- Coordinate with university housing and proactively plan and execute annual turnover process to ensure all team members and vendors have clear goals and expectations.
- Develop and maintain the community budget; reconcile all invoices, ensure appropriate allocation and payment processing; apply financial management principles to ensure sound financial decision making.
- Coordinate, prepare, and review all ad hoc and regularly scheduled reports; ensure all requisite information is accurate and available within required timeframes.
- Accurately prepare and convey all operational and financial data to the Regional Operations Manager in the context of maintaining a monthly budget.
- Ensure all physical aspects of the property are fully functional, safe, and attractive, presenting the community as a quality living environment.
- Model the highest standards of professionalism; Support the training and development of team members through onboarding and coaching; Create accountability and ownership among team members through communication of clear expectations, supervision, and provision of timely performance feedback.
- Establish a strong working and collegial relationship with campus leadership.
- Lead the recruitment and retention of diverse teams of professionals.
- Participate in an on-call duty rotation and respond to emergency calls after hours.
- Other duties as assigned.
Role Specific Requirements Include:
- Bachelor’s degree in a related field is preferred.
- 5+ years progressive experience in residential property management with an emphasis in facility management and maintenance; strongly prefer experience in university, student housing.
- Working knowledge of full-cycle maintenance, including preventative, predictive, planned, and make ready programs.
- Proven success managing people and organizing team activities to ensure operations are highly productive and meet or exceed customer satisfaction metrics.
- Proven ability to develop operating budgets and manage expenses.
- Ability to communicate effectively both verbally and in writing with all levels of the organization as well as with residents, vendors, and partners.
- Demonstrated ability to work cross-functionally and build relationships at all levels inside and outside the organization.
- Demonstrated ability to professionally interact and relate to individuals with diverse backgrounds, including the ability to effectively handle elevated conversations and potentially stressful situations in a calm and professional manner.
- Computer proficiency, including working knowledge of word processing, spreadsheet, and database software.
- Valid driver's license required.
