Summary:
As the Group Sales Coordinator at Cambria Nashville Downtown, you will play a vital role in driving the hotel's sales efforts. Your primary responsibility will be to assist the sales team in attracting and securing business transient & group bookings, ensuring exceptional service and satisfaction for all clients. This position requires strong organizational skills, excellent communication, and a passion for providing top-notch customer service to groups of various sizes and needs.
Duties and Responsibilities:
- Group Booking Support: Collaborate with the sales team to manage all aspects of group bookings, including inquiries, proposals, contracts, resumes, reservations/rooming lists, pick up reports, and follow-ups.
- Client Communication: Serve as a primary point of contact for group clients, promptly responding to inquiries and providing necessary information to facilitate bookings.
- Event Planning Assistance: Assist in the planning and coordination of group events with Catering Coordinator, including meetings, conferences, and other special events, ensuring that all client requirements are met.
- Sales Materials Preparation: Prepare sales collateral and materials, such as brochures, presentations, and promotional items, to support the sales team in their efforts to attract and retain group clients
- Relationship Building: Cultivate positive relationships with clients, vendors, and partners to enhance the hotel's reputation and increase group bookings.
- Data Management: Maintain accurate and up-to-date records of group bookings, contacts, and communications using appropriate sales and customer relationship management Delphi FDC software.
- Site Inspections: Create Site Inspection resumes and distribute throughout hotel team, assist with conducting site inspections with potential clients, showcasing the hotel's facilities and services to create a positive impression.
- Revenue Optimization: Collaborate with the revenue management team to offer competitive pricing and packages to maximize group revenue.
- Cross-Functional Collaboration: Work closely with other hotel departments, including reservations, catering, and operations, to ensure seamless execution of group events.
- Customer Service: Provide exceptional customer service throughout the booking process and during group events, addressing any issues or concerns that arise promptly and professionally.
Qualifications and Skills:
- High school diploma or equivalent (Bachelor's degree in Hospitality Management or related field preferred).
- Proven experience in sales, customer service, or event planning within the hospitality industry.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Proficiency in using sales and/or Delphi FDC software.
- Detail-oriented and capable of multitasking effectively.
- Positive and proactive attitude, with a dedication to delivering exceptional service.
- Flexibility to work evenings, weekends, and holidays as required by the demands of group events.
