The Sales Operations Coordinator plays a key role in maintaining the efficiency of the entire Sales & Marketing team through timely communication, coordination, and reporting.

Duties/Responsibilities:

  • Create and maintain spreadsheets for various aspects of the sales organization such as, but not limited to, organizational charts, sales forecasts, deferred payouts, contest/spiff results and prize/incentive trackers.
  • Prepare and process expense reports and requisition requests for upper management as well as review employee expense reports for accuracy and submit for payment.
  • Create, track and process customer loyalty certificates, free month certificates and addendums to the LOGIX service agreement for management, sales reps and account relationship managers.
  • Create PowerPoint presentations as needed or required by management for sales contests, new sales promotions, employee training etc.
  • Negotiate offsite meeting space, hotel accommodations, catering and transportation for all sales training and/or staff events.
  • Act as primary sales department contact for managing employee records and access in key database systems throughout the organization and assist sales operations with system data clean-up projects.
  • Process referral partner applications and create partner profiles and IDs in CRM.
  • Assist management and HR with the new hire process, including on-boarding, coordinating with IT for computer set-up, desk assignment, system access and reviewing all sales employee time records for accurate PTO reporting.
  • Act as liaison between the sales and IT Helpdesk for equipment, software, hardware, printers, application access, etc.
  • Access CoStar to obtain building data for sales reps and management as needed and assigning these buildings in the CRM to appropriate reps.
  • Loop Qual addresses upon request to verify service location qualification.
  • Summarize bi-weekly staff calls and provide easy-to-read highlights e-mail to ensure management absorption of information.
  • Generate and distribute online correspondence from Sales VPs containing critical department material, announcements and updates.
  • Support and perform other clerical duties, including special Business projects regularly requested by the VP Enterprise Sales, VP Sales Ops, or VP Carrier Sales or as business needs dictate.
  • Complete special projects as assigned.
  • Maintain office supplies inventory and sales and marketing collateral by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Meets and exceeds team member expectations by providing service and department teamwork.
  • Demonstrates teamwork by cooperating and assisting co-workers as needed.
  • Communicates effectively with co-workers and management.
  • Performs other duties as required to provide excellent service and teamwork.
  • Adheres to policies and procedures.
  • Attends work on time as scheduled.
  • Required to call in to report an absence no less than two hours prior to the start of business day by contacting the supervisor directly and stating reason for absence;
  • Minimizes safety hazards by following all safety rules and procedures.

Required Skills/Abilities:

  • Excellent knowledge of general office practices and business English; ability to convey information verbally as well as in written form.
  • Able to interact and communicate with a wide variety of people, including executives, employees and vendors.
  • Above average knowledge of computers and computer software such as Microsoft applications: Microsoft Windows, Word, Excel, and PowerPoint. Ability to create spreadsheets and presentational formats through all applications.
  • Maintain knowledge of company structure and personnel.
  • Able to perform duties in E-mail and Microsoft Word.
  • Must have a good comprehension of telephone etiquette.
  • Ability to define problem(s), define seriousness of problem(s), collect data, and establish facts.
  • Maintain positive attitude towards co-workers and customers.
  • Maintain honesty and integrity in all dealings.

  • Troubleshooting abilities

Education and Experience:

  • Bachelor’s Degree preferred, but not required.
  • Knowledge of telephone communications industry.
  • Strong working knowledge of basic computer operations; especially MS Excel and PowerPoint.
  • Working knowledge of basic accounting theory and functions.
  • Tact, above average communication skills, ability to work effectively with both employees and managers.

Physical Requirements:

· While performing the duties of this job, the employee is regularly required to talk and listen effectively. Employee will be required to sit for long periods of time at a desk and computer and must be able to walk and stand as needed. May be subject to lifting objects no more than ten (10) pounds in weight.
