Full description of the position

Reporting to the Executive Director of Marketing and Sales, the Senior Administrative Assistant at New England Biolabs provides support to the Executive Director to ensure the effective and efficient running of the department. The individual will screen emails and phone calls, make travel arrangements, submit invoices for payment, attend and record the output of departmental meetings, and manage and update the calendar of the Executive Director, as well as helping to oversee day-to-day department operations. The individual may additionally handle special projects, which may involve data analysis and compilation, plus report generation. The work is often of a critical and/or confidential nature.
The ideal candidate will be dependable and proactive, have excellent organizational and interpersonal skills, and a desire to learn and operate at the highest of levels in a fast-paced environment. This is an onsite position, based at NEB’s Ipswich Headquarters.
Primary Responsibilities:
  • Support calendar management, travel arrangements, expense reports, plus miscellaneous purchases, and invoices, for the Executive Director of Marketing and Sales.
  • Develop and manage various meeting logistics, including sharing materials, agenda topics, and calendar scheduling. Also coordinate with external parties, including customers, partners, and vendors, as needed.
  • Coordinate domestic and international travel, including booking flights, accommodations, car service, travel visas, restaurant reservations, meeting space and the like.
  • Plan and organize a variety of administrative tasks including events, assisting with special projects, organizing travel arrangements, and maintaining contact information.
  • Support customer and collaborator interactions and visits, as requested.
  • Work cross-functionally to coordinate meetings of various sizes, including agenda development, securing meeting spaces, booking catering and accommodations. This includes working with a team to coordinate North American and Global Sales and Marketing meetings.
  • Collate meeting notes and action items and drive follow-up on team-oriented projects, as requested.
  • Prepare communications and maintain/improve internal reports, as needed.
  • Collaborate with other departmental administrators and coordinators to ensure communication and implementation of company-wide best practices.
  • Provide occasional coverage for the Front Desk team, as needed, to answer incoming calls and greet customers.
Required Qualifications and Experience:
  • Associates degree; bachelor's in a business or quantitative field highly preferred.
  • Minimum of 7 years’ related experience.
  • Excellent interpersonal, verbal, and written communication skills required.
  • Excellent organizational skills and keen attention to detail.
  • Ability to work independently, but also a strong team player.
  • Experienced in multi-tasking, ability to exercise good judgment, and is solution-oriented across a variety of situations.
  • Has a strong work ethic with the ability to work efficiently in a fast-paced environment, while maintaining a high quality of work.
  • Knowledge of MS Office applications including MS Outlook, PowerPoint, Excel, Word, and SharePoint required.
