JOB SUMMARY
Under indirect supervision, the Sales Administrator is responsible for working directly for the Sales Administration Supervisor and being involved in all aspects of sales order entry and customer service for OEM and returned product, including internal interactions with other departments and staff as well as external interactions with customers.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Enter and update sales orders and customer information into the ERP system. Perform data entry tasks.
- Read and review customer purchase orders against current contracts and agreements to determine items to be manufactured and shipped.
- Verify information on sales orders, certificates of conformance, FAA Form 8130-3, shop reports, and other paperwork is accurate and corresponds to customer purchase order.
- Communicate status on returned product and ensure customer needs are conveyed to appropriate internal staff.
- Organize and manage digital and physical files.
- Answer phones for the sales team and respond to customer questions. Resolve customer issues when appropriate.
- Provide written communication via email of hard copy correspondence, for internal and external purposes, on behalf of sales management.
- Fill out paperwork associated with assigned work tasks.
- Communicate quotations, established and prepared by Department Head, in response to customer inquiries for products and work scopes.
- Follow the documentation and guidelines set forth by ISO9001 and AS9100 requirements, policies and procedures.
- Contribute to team effort by accomplishing related results as needed.
- Perform other duties as assigned.
QUALIFICATIONS
- High school diploma or equivalent and 2 plus years of administrative/clerical work or other related field required.
- Associate’s degree with 1 year of experience in a related field preferred.
- Experience using Microsoft Office Suite – Word, Excel, PowerPoint, and Outlook required.
- Strong organizational and communication, verbal and written are required.
- Must be able to establish and maintain strong relationships with internal and external customers.
- Experience with B2B and/or manufacturing environment is a plus.
PHYSICAL REQUIREMENTS
Hearing: Adequate to perform job duties in person, over the telephone, and on the production floor.
Speaking: Must be able to communicate clearly in person, over the telephone, and on the production floor.
Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.
Other: May require frequent lifting and carrying items weighing up to 25 pounds unassisted, including assisting co-workers when required. Adequate physical ability including sufficient manual dexterity to perform the requisite sales duties. Requires frequent bending, reaching, repetitive hand movements, standing, walking, squatting and sitting, with some heavy lifting, pushing and pulling exerted regularly throughout a regular work shift.
