Job Summary
The Enrollment Specialist is a key school leader who maintains great working relationships with families and school staff. As the first point of contact for new families, this individual must assess family needs and provide appropriate information on specific programs. The Enrollment Specialist will exceed expectations for delivering customer acquisition and retention.
Job Responsibilities and Standards of Performance
Retention
- Actively develops and maintains positive relationships to retain enrolled families
- Actively develops and maintains positive relationships to retain staff members
Enrollment
- Enrolls all prospective families
- Plans and conducts enrollment tours for all inquiring families
- Maintain consistent contact and communication with families interested in learning more about Préscolaire via e-mail and phone
- Implements sales and service strategies to ensure enrollment growth
- Partners with Regional Manager and Executive Director to create and implement plans and strategies to result in increased enrollment
- Accurately maintains and submits enrollment and marketing data
- Ensures that all lead follow up is accomplished in the required timeframes
- Plans and conducts center enrollment tours for all inquiring families
- Follows up on all leads with personal calls, emails, and direct mail pieces
- Implements a marketing plan that includes community events and First Day Calls to all newly enrolled families
- Fills the center to capacity while maximizing the profitability of the operation - daily attendance should meet licensed capacity
- Is available to parents at their convenience—listens attentively to their concerns and takes appropriate action.
- Ensures that all new child enrollment paperwork is complete
- Prepares enrollment packets so that they are complete and available for touring and inquiring families.
Educational Programs
- Have a concrete understanding of all program curriculum
- Clearly articulates the benefits and outcomes of Préscolaire programs
Health & Safety Requirements
- Ensure that all child enrollment paperwork is complete and current prior to the child’s first day of attendance and thereafter
- Understands and implements emergency procedures in case of emergency situations. When, necessary, can administer CPR/First Aid, including lifting and carrying injured children
- Requires staff to enforce all safety policies and procedures in compliance with all regulatory agency requirements
- Implements all standards necessary to ensure a clean, safe, and healthy environment, including universal precautions
- Maintains a clean, safe, healthy environment through scheduled cleaning and frequent visual checks
- Participates in emergency drills in accordance with company and licensing requirements
- Maintains building, equipment, and grounds to ensure a safe environment that meets company and licensing safety standards
- Understands and implements policies related to the exclusion of an ill or infected staff member or child enrolled in the program
Training & Professional Development
- Coaches and develops staff to reflect growing demand for enrollments
- Participates in all staff training sessions, meetings, and programs as requested by the Executive Director and sponsored by the school - willing to lead session if requested to do so by the Executive Director
- Coaches and counsels staff when the Executive Director is out of the building
Customer Experience
- Provides the highest level of customer service for families
- Develops and actively maintains positive, effective communications with families and staff
- Recognizes parent concerns, evaluates course of action, and responds appropriately to the needs of families
- Communicates all family concerns to the Executive Director
- Maintains strict confidentiality regarding children and families
- Keeps parents apprised of center activities
Physical & Mental Requirements
Childcare demands physical fitness and mental acuity as staff care for children who cannot care for themselves. The Director of Parent Relations:
- Must be able to react quickly with sound judgment and problem-solving skills in complex and critical situations, such as injuries and accidents.
- Must use excellent verbal and written communication skills with parents, children, and staff.
- Must be able to stand approximately 95% of the workday.
- Must be capable of lifting, carrying, and holding children weighing up to 60 pounds, up to 100 times daily.
