Herons Key, is a 5 star premier life plan community located in Gig Harbor Washington. We opened in 2018 and it is a stunning community!! Our campus hosts hundreds of independent residents in beautiful apartments. As their needs change, we have assisted living, memory care and skilled nursing.
The Marketing & Sales Coordinator works in accordance with established policies and procedures of Heron’s Key Gig Harbor, and/or specific instruction from the Heron’s Key Gig Harbor Marketing & Sales Director. The Marketing & Sales Coordinator provides support for all aspects of the marketing and sales effort, including facilitating move-ins/move-outs. This primarily includes managing the marketing office, coordinating events, managing and monitoring the database, creating and producing reports, and other office management support functions.

Matching begins the first of the quarter following 1 year of employment. Full-time employees are eligible to accrue up to 16 paid time off days, 6 paid holidays and 3 personal days. Base Pay - $56,000 - $60,000
Commission Pay - The position also offers performance bonuses with annual potential up to 30% of salary (dependent upon goal achievement.)
Primary Responsibilities:
- Answers and directs incoming phone calls and manages the Up System in accordance with the Lead Distribution Policy.
- Greets and serves all visitors to the marketing office in accordance with Heron’s Key hospitality programs.
- Is responsible for planning and implementation of all marketing events within the approved budget.
- Prepares and updates standard marketing and sales reports, and other reports as needed.
- Processes all sales, cancellations, transfer, move-ins, move-outs and associated documentation.
- Responsible for maintenance of marketing systems, producing data results and system generated reports.
- Processes invoices and is responsible for assisting with budget performance.
- Processes initial financial qualification forecasts with immediacy using the FinAid program. Completes the final financial approvals when application documentation is received.
- Develop and implement a program that provides a smooth transition for incoming residents, coordinating with future residents and families, movers and Heron’s Key’ staff. Assists residents/families with resources for move-outs.
- Verify receipt of medical and financial approval forms; distribute to appropriate staff for review and approval prior to move-in.
- Prepare entrance fee and first monthly service fee statements, establish legal date of residency, and receive payment in advance of move-in.
- Prepare and update new resident information package.
- Issue keys to apartment/mailbox/entry doors to residents at time of entrance fee payment.
- Ensure delivery of welcome gift to new residents.
- Personally visit with residents on day of move-in or soon thereafter.
- Keep accurate record of resident move-ins, internal transfers and move-outs.
Required Knowledge, Skills and Experience:
- Administrative degree and minimum five years related work experience, or high school degree and minimum seven years related work experience.
- Experience in the senior housing industry or hospitality environment, where good communication (especially telephone) and customer relations skills are essential.
- Proficient in the use of various software including Microsoft Word, Excel, Power Point, CRM and financial analysis software.
- Excellent keyboarding and proofreading skills.
- Organizational skills.
- Ability to multitask.

- Strong written and verbal communication skills.
- Team oriented and dependable with a strong work ethic.
- Empathy and sensitivity to older adults needs.
