Full description of the position

The Presidio Trust is seeking a Sales and Events Coordinator who will support the Visitor Services Department. Once an Army Base, the Presidio of San Francisco is now a new kind of national park. The 1,500-acre Presidio is richly layered in history, is a natural oasis for wildlife, plants, and people, and offers iconic views known around the world. In its third decade as a park, public awareness and enjoyment of this exceptional place continues to grow.

The Sales and Events Coordinator sells and oversees the delivery of a variety of outdoor spaces and special events in the Presidio including private lawn rentals, corporate events, public festivals, and more. This position is responsible for fielding and responding to a high volume and diverse range of inquiries. The Coordinator takes events from the application to permitting and event execution, ensuring compliance with safety rules and regulations and resource protection according to the Presidio Trust’s policies for safe use of park facilities. This is a multi-disciplinary position that requires knowledge and experience related to special park uses.

This is a full-time position with benefits and a starting at $73,795 (or $35.36 per hour). This position is included in a bargaining unit, specifically The Laborer’s International Union of North America, Local 792, United Public Employees of California. Responsibilities

· Fielding Inquires: Field a constant stream of inquiries for outdoor special events in the Presidio. Many of these inquiries are unique and complex, and require knowledge of the Presidio, relevant federal regulations and requirements, vetting across multiple Trust teams/stakeholders, and a working knowledge of relevant park policies and procedures. Ensure all inquires are managed in a timely and efficient manner. Serve as an agent for the Trust in vetting these requests, ensure protection of park resources, management of competing interests and uses. Actively and clearly communicate with clients, manage expectations and navigate sometimes challenging conversations.

· Permitting & Fees: Draft and issue legally sound and compliant special use permits for park spaces and facilities. Review applications and permits for accuracy and completeness. Calculate permit fees, and annually contribute towards the update of standard fees based on market comps and insights from the prior year. Provide financial oversight of permits including the issuance of invoices, process payments and track refunds for reimbursement.

· Records Management: Maintain accurate and detailed electronic and paper administrative records and documents and manages database content. Ensure critical documents such as proof of insurance and sensitive information such as credit card numbers are secure and appropriately managed in compliance with Trust requirements.

· Compliance: For events that are of a scale and complexity that warrants further compliance and permitting, oversee and manage these activities. Prepare relevant forms, complete required consultation, mediate and inform client of requirements, and overall monitoring of events for adherence to all applicable laws, regulations, policies, guidelines, as well as other planning and permit documents.

· Use of Data:Support the customer feedback loop by tracking client satisfaction and feedback; prepare and generate regular reports summarizing attendance of events and distilling feedback for agency. In consultation with the Visitor Services Manager, review and utilize feedback to help the ongoing improvement of customer service. Supports the design and refinement of Team KPIs (key performance indicators). Presents evaluation in a compelling, succinct, and informative manner. Actively engages others in the process.

· Event Production & Management: Support all pre-production activities necessary including logistics, notifications, calendaring, and securing support, as needed, from Trust Visitor Services Operations team. Serve as the lead Trust representative on-site during events and oversee event logistics including load-in, out and day of oversight. Serves as on-site representative for large and/or complex special events. Ensure compliance with permit requirements.

· Collaboration: Maintains ongoing communications and professional working relationships with area partners as well as other Trust Divisions (Planning & Compliance, Marketing & Communications, etc.).

· Customer Service: Model an exceptional customer service-oriented approach when interacting with clients and the public that is consistent, professional, friendly, helpful, and informative. Assists in the resolution of customer or client issues. Maintains records and documents of customer service issues and resolutions.

· Other duties as assigned.

Required Qualifications

· High School Diploma

· Minimum of three (3) years of direct experience related to the position working in a park, cultural institution, community-based organization or similar setting.

· Knowledge of park permitting systems and processes and experience issuing and managing permits using park reservation database systems.

· Experience communicating and enforcing permit rules and regulations to clients.

· Ability to communicate and present information clearly both verbally and in written form and to represent the Presidio and Presidio Trust in a positive manner.

· Exceptionally organized, must have sound and accurate judgment; include appropriate people in decision-making process; demonstrates persistence and overcomes obstacles; takes calculated risks to accomplish goals.

· Ability to work independently, to prioritize tasks, meet deadlines and recognize what needs to be done; must be flexible and multi-task effectively; and ability to take initiative and follow through with tasks to completion.

· Must have a strong work ethic with the ability to be flexible and adapt to change. Ability to work on diverse teams and with a diverse range of people.

· Must be willing to work a flexible schedule including weekends, occasional holidays and evenings to support special events.

· Proficiency with various types of computer applications including Microsoft Word, Excel, Outlook, PowerPoint. Experience using reservation databases including Recreation.gov and Ungerboeck (USI) or similar database reservation programs.

· Must have a valid California Driver’s license in good-standing.

Desired Qualifications:

· A.A. or B.A. degree from an accredited University. Field of study in parks and recreation management, communication, travel and tourism, or relevant discipline.

· Knowledge of the Presidio; its mission, history, geography, resources, facilities, affiliated organizations and Park Partners such as National Park Service and Golden Gate National Parks Conservancy.

· Bilingual in Spanish, Cantonese or other non‐English languages desirable.

About the Visitor Engagement Team

The Visitor Engagement Team is dedicated to welcoming people of all ages, backgrounds, and abilities to enjoy their national park. They encourage and facilitate access through three key functions: Visitor Services (including permitted recreational events and activities), Community Partnerships (encouraging community access and support of an inclusive and relevant park), and Volunteer Programs (engaging volunteers in stewarding the park and welcoming visitors).

Driver’s License Investigation & Review

This position requires a current, valid Driver’s License prior to starting work, and maintenance of a driver’s license throughout occupancy of the position. You will be subject to a driver’s license investigation as a New Entrant, and annual driver’s license reviews thereafter. An individual’s granting of an investigation and resulting reports thereafter is voluntary, however, employment is contingent upon the successful completion of a driver’s license investigation. The Trust may refuse to hire an individual, rescind an offer of employment, or review and terminate the employment of a current employee who does not successfully complete the driver’s license investigation.
