The Portfolio Manager is accountable for oversight of all aspects of operations of multiple properties (max of 4).
The purpose of the Portfolio Manager is to enforce consistent implementation and execution of policies and procedures of MEB Management Services.
Normal Hours:
● Full-time – minimum 40 Hours per week
● Weekly schedule to be set by Asset Director, as required by property operations/owners
● Managers are to be on call and available after hours to respond to emergency situations, as required by property/supervisor
Essential Job Functions:
● Responsible for all operations of multiple properties (max 4), including general administration and maintenance of the overall physical condition
● Conduct all business in accordance with MEB Management Services’ policies and procedures, Fair
Housing, Americans with Disabilities Act, and all other laws pertaining to apartments.
● With the assistance of the community staff, formulation of annual budgets for each upcoming calendar year. Review and submit the budget to the Asset Director for approval process.
● Maximize revenue by control of expenses and/or improved income.
● Adheres to budget guidelines for purchasing of services or supplies for the property and notifies Asset
Director of any possible budget variations
● Ensure staff is familiar with budget guidelines for spending, and all team members are working together to cut costs and stay within budget
● Check preventive maintenance program on a regular basis
● Continually inspects the property and improvements, recording any deficiencies and taking the necessary action to remedy
● Ensures that all maintenance requests are handled in a timely manner, with emergencies being given top priority
● Informs residents immediately of any work order delays due to part orders, etc.
● Oversees completion of all daily, weekly, and monthly reports, including
o Daily morning reports
o Monthly apartment statuses
o Lease expiration reports
o Market surveys
o Month-end closeouts
● Completes monthly variance report and owner’s letter
● Maintains petty cash; keeping track of expenses and all receipts
● Handles resident complaints and problems in a professional and courteous manner
● Attempts to resolve all issues at the property level
● Keeps Asset Director informed of all issues involving the property
● Supervises Rental Applications and Rental Agreements. Ensures Property Manager / Staff are correctly signing all leases, addendums and related forms.
● Reviews and approve Rental Applications and Rental Agreements. Sign all leases, addendums and related forms.
● Supervises all details of move-ins and move-outs; specifically concentrating on preparation of paperwork and make-ready condition of units
● Oversees preparation and distribution of monthly newsletter
● Oversees all resident notices
● Handles delinquent accounts
● Recruit, select and place qualified personnel needed to meet the staffing level established for each assigned community and oversee compliance with MEB’s policies related to employment and Human
Resources.
● Responsible for overall direction, coordination, and evaluation of the all-site personnel.
● Act as a liaison between upper management and site personnel.
● Trains and is responsible for work performed by all staff members under their direction including
o Performing written evaluations of employees
o Making recommendations for salary increases and/or advancement
o Submitting payroll in a timely manner according to MEB payroll practices
o Establishing schedules and assigning personnel for routine and emergency coverage
o Administering written or verbal counseling as needed
● Communication, implementation and follow up of objectives for each property.
● Make weekly routine inspections of properties to ensure compliance with Company policy and to review project operation.
● Recommend maintenance and capital improvements for each property and continually act in a manner such as to maintain and enhance the value of the assets under his/her supervision.
● Accommodate and tour visitors, such as investors, bankers, brokers/dealers, and other officials.
● Communicate appropriate information between properties, Asset Director, corporate office, and legal counsel to avoid negative legal consequences
● Implement advertising programs to fulfill property performance objectives and ensure maximum cost effectiveness.
● Adjusts rents as necessary according to availability and based upon quarterly written review of market conditions.
● Develop short- and long-term rental programs.
● Review market surveys on a regular basis and make adjustments according to conditions in the marketplace.
● Schedule shopper’s reports quarterly or based on ownership direction for the current year. Review with site personnel to ensure that quality customer service is provided in an enthusiastic and consistent manner as the company standard.
● Responsible for implementing and monitoring marketing program so that MEB on-site marketing efforts are consistently the best in the industry.
● Responsible for seeking educational opportunities and self-improvement for personal growth and development, and for implementing and monitoring such program for portfolio.
● Coordinate’s efforts in safety and security awareness.
● Oversees the development, revision, and printing of various publications such as an apartment life handbook, other related brochures or materials as needed.
● Communicates apartment life benefits and desirability of residency through the implementation of a leasing plan.
● Reports accidents and emergency situations to the corporate office immediately and prepare the proper reports
● Regular and reliable attendance and punctuality at work
● Is aware of and always operates within OSHA (Occupational Safety & Health Act) standards and company safety policies
● Responsible for thorough knowledge and adherence of the Company’s policies and procedures
● Responsible for maintaining the required property dress code and always ensuring a professional appearance and attitude
● Responsible for maintaining Grace Hill /Vision training as required
● Performs other duties as assigned
Staff Relations:
● Reports to the Asset Director
● Works in harmony and collaboratively with members of staff, community, and vendors
Language Skills:
● Demonstrate ability to communicate clearly and concisely, both verbally and in writing, for business necessities including: o Communications with customers, coworkers, supervisors, and vendors o Emergencies or other situations in which team members must speak a common language for safety
● Experience in producing and presenting formal reports to management
● Possess effective facilitation skills to manage conflict and resolve disputes.
Minimum Qualifications:
● 18 years of age

● Certificates, Licenses, Registrations: Arizona Real Estate License Required. ARM, CPM or CAM designations preferred.
● MEB conducts thorough pre-employment background screening and alcohol/drug tests for all positions prior to start date
Desired Qualifications:
● College degree preferred in a related field. High school diploma or general education degree (GED) with a previous property management and/or related management experience and/or training.
● Working knowledge of eviction law, Fair Housing mandates and other legal issues affecting property management.
● Ability to work with mathematical concepts such as probability and statistical inference.
● Ability to compute rate, ratio, percent, commissions and work within budgeted guidelines.
● Knowledge of Google Suite, Microsoft Office, Yardi or related property management software equivalent and the Internet.
● Ability to interpret a variety of instructions furnished in written, oral diagram, or scheduled form.

Pay: $75,000.00 - $85,000.00 per year
