Full description of the position

Summary

The Front Office Assistant supports in the day-to-day operations across both the leasing and maintenance aspects of Golden Sky Management. These duties include customary administrative duties (i.e., typing, filing, copying, faxing, coordinating projects, and answering & conducting calls) as well as ad-hoc tasks or errands that may be assigned.

Key Duties and Responsibilities

  • Answer all inbound calls to Golden Sky Management and route to correct individual when necessary
  • Warm and attentive customer service interactions during all in-person, remote or written communications
  • Manage the external phone line for the company; answer calls, give information to callers, take messages, or transfer calls to appropriate individuals
  • Assists with processing move-ins, move-outs, and lease renewals
  • Assists with processing applications, conducting credit checks
  • Open, read, route, and distribute incoming mail or other materials and answer routine letters and a real estate administrative assistant will also locate and attach appropriate files to incoming correspondence requiring replies
  • Maintain scheduling and event calendars
  • Audit all new and current lease agreements and resident files for accuracy.
  • Activating, transferring and/or deactivating utility services
  • Preparing and scheduling property viewings, conducting property tours and interviewing prospective tenants
  • Assist with addressing and resolving residents' questions, concerns, and complaints in a timely manner
  • Handles inquiries about late payments and manages rent collection process
  • Manage tenant meter reading procedures and ensure accurate and timely invoicing for utility bills
  • Assist with creating and processing invoices
  • Creating and distributing marketing materials to attract new tenants, advertising online
  • Maintaining organized and updated resident files and records
  • Daily review of incoming emails/voicemails/text messages and responding in a timely manner
  • Compose and prepare routine correspondence, rental notices, and other letters and memorandums
  • Ability to cope with and defuse situations involving angry or difficult people
  • General Office functions, like phones, mailings, filing, copying and scanning
  • Must be able to handle clients on the phone, in office, and be able to work with a myriad of different personalities
  • Other duties as assigned
