Full description of the position

Schedule: Thursday – Monday (Periodically alternative days dependent on Event Schedule)

9am-5pm (Subject to change with event time)

Responsibilities:

Event Department Admin

Managing the Wedding + Private/Public Event Department office while manager is absent

• Answer incoming calls and email inquiries pertaining to private events and weddings
• Provide tours of the property for inquiring clients with a warm and knowledgeable approach, while being insightful pertaining to the CASS family of wines
• Facilitate bookings
• Show hospitality to potential clients
• Create estimates utilizing Honeybook system
• Work with Chef and Wedding Manager to develop menus
• Maintain keeping Wedding Manager knowledgable of developments
• Develop timelines, BEO’s, and layouts utilizing systems like Honeybook and AllSeated
• Assist with staffing events appropriately
• Create BEO’s & Timelines to support staff execution
• Assist with determining all event presentation needs, i.e. chairs, décor, signage, etc
• Add events to online Google Calendar while attaching all pertinent documents for team
• Work with the Inn Manager to facilitate exceptional wedding experiences.
• Maintain marketing collateral that supports weddings.

When days of employment align with tasks

• Event set-up and tear-down: weddings, luncheons, seminars, non profit, galas, etc.
• Shadow Wedding Manager to hone skills of event management for further development
• Executing timeline and managing staff when lead at an event
• Organize event items: storage, linen closet, and all event inventory
