Job Title: Inside Sale Administrative Support

Reports to:
Director of Sales

Position Purpose:
Provide customer service and high-level administrative support for Sales Director and sales team by purchasing of materials, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging travel, scheduling training and meetings.

Essential Duties and Responsibilities
:
  • Effective and Efficient Professional Communication with team, vendors, customers, etc.. via phone and email.
  • Musts be able to work in spreadsheets and have above average level of excel or similar spreadsheet program.
  • Ability to quickly take notes to later develop scope while talking on the phone or during meetings.
  • Generally, assist the Outside Sales team by facilitating their ability to spend time in front of our customers.
  • Works closely as a team member with other parts of the business.
  • Keep up-to-date information on bidding and awarded projects.
  • Maintain current vendor pricing and contact data.
  • Call third party vendors and request quotes for parts and/or equipment.
  • Prepare equipment quotes, sales results, and forecast data.
  • Create project estimates from construction plans and specifications.
  • Handle customer questions on products or services.
  • Ability to write clear statements and create quote letters (will be given several examples and taught)
  • Ability to call outside salespeople and/or clients and can communicate status of quotes/projects
  • Develop technical depth and understanding of company products and application knowledge.
  • Assemble equipment submittal data for engineering approval on projects.
  • Manage the order entry process and coordinate deliveries with the customers.
  • Enter information in accounting system including setting up Customer Job Maintenance (CJM) for all project.
  • Work closely with manufacturers to resolve application specific issues.
  • Coordinate equipment start-up and resolution of warranty-related issues.
  • Be the first point responder for customer call-in requests.
  • Other tasks as assigned.

Education and Experience:
  • Post-Secondary degree preferred
  • 2-5 years of work experience in a related field or sales
  • Mechanical service/HVAC industry experience preferred.
  • Service management or accounting system experience a plus
