ProCompounding Pharmacy Intake Technician Job Description
The Intake Technician is primarily responsible for prescription order entry of refills and cash prescriptions and insurance billing of complex and non-complex compounds. This position reports directly to the Intake Pharmacist in conjunction with the Pharmacist in Charge (PIC).
1. High School Diploma
2. Tennessee Board of Pharmacy Registered
3. Certified Technician by Pharmacy Technician Certification Board
4. Proficient in non-sterile compounding and point of sale, as well as order entry
5. Good organizational and documentation skills
6. Close attention to detail
7. Ability to work and communicate effectively with others, including clients and providers 8. Highly dependable in attendance and job performance
9. Strong computer and mathematical skills
10. Understanding of proper workflow process
11. Proficiency in Point-of-Sale.
Essential Job Functions:
1. Answers phone calls in a prompt and polite fashion.
2. Demonstrates the ability to look up notes and call logs, and communicate the information to the patient, provider or other.
3. Effectively transfers calls to the appropriate party according to the workflow process
4. Efficiently enters patient demographics and documents missing information and other pertinent notes.
5. Acquires additional information from the patient or provider as needed to assist the intake billing technician or other personnel in the prescription processing process.
6. Scan documents as needed.
7. Enters and files patient HIPPA sheets, signature of receipt, medication allergy profile and other information.
8. Demonstrates an awareness of the responsibility of his/her position under the law, within the pharmacy, and as it relates to the pharmacy’s practice of compounding, including all state and national laws, regulations, and standards.
9. Effectively communicates with patients and providers and refers them to the appropriate supervisor when warranted.
10. Very strong in customer service skills, both through verbal, written, and face-to-face communication.
11. Understands importance of patient, client, and provider relationships and maintains them to the fullest potential.
12. Process the knowledge base to choose alternatives to bill to insurance.
13. Has a basic knowledge of insurance contracted obligations
14. Maintains an understanding of insurance rejections and communications
15. Documents refills from patients and communicates pick up, shipping, or delivery times and dates.
16. Effectively and efficiently accepts new prescriptions orders once certified, documenting ALL required information, including, but not limited to: Patient name, date of birth, phone number, allergies, medication name, dosage form, directions, length of therapy, quantity to be dispensed, flavor (if applicable), practitioner’s name, name of person calling in (if applicable), practitioner’s phone number, and requested pick-up time.
17. Understands importance of repeating verbal orders for verification.
18. Understands importance of patient, client, and provider relationships and maintains them to the fullest potential.
19. Contacts patient in a timely manner to notify them of a new prescription or potential problem with an existing prescription.
20. Proficient at point of sale (see point of sale job description) and backs up the point of sale employee as needed.
21. Demonstrates very strong computer skills.
22. Demonstrates full proficiency of dispensing software including but not limited to: patient demographic entry, patient allergies, notes, searching insurance information, prescription scanning, and troubleshooting.
23. Maintains proper workflow in conjunction with compounding technicians.
24. Effectively communicates delivery times, shipping schedules, etc. to patients and providers.
25. Assists compounding Pharmacist in proper management of time on pending prescriptions (i.e. makes them aware of “red” baskets or STAT deliveries).
26. Coordinates deliveries and shipments.
27. Assists the pharmacist in accessing, reviewing, and processing patient records/orders in the compounding software.
28. Proficiency in processing prescriptions and payments in CashierLive (including AR accounts)
29. Proficiency in setting priority dates/times, creating compounding logs for said dates/times, and communicates this information effectively in the Blue Sheet.
30. Identifies when to conduct CSMD checks. Performs, and documents, CSMD checks when appropriate.
31. Effectively verifies shipping addresses and properly communicates his information to the shipping department
32. Proficiency in pricing for prescriptions that may have different prices depending on the situation
