Job Summary:

The Sales and Marketing Administrator is responsible for overseeing and optimizing the processes and systems that support the company's sales and marketing activities. This role involves a mix of strategic planning, operational management, data entry and analysis, creative input, and direct customer contact.

Areas of Responsibilities

Strategic Planning and Execution:

  • Support development and implementation of sales and marketing strategies that align with the company's overall growth objectives.
  • Collaborate with sales, operations, and executive leaders to define key performance indicators and set targets.

Data Analysis and Reporting:

  • Analyze sales and marketing data to identify trends, opportunities, and areas for improvement.
  • Produce regular reports on sales and marketing performance against goals.

Technology and Tools Management:

  • Support the selection and management of sales and marketing tools and technologies.
  • Ensure the sales and marketing teams are effectively using CRM and other software tools.

Data Management and Reporting:

  • Maintain and update sales and customer records.
  • Compile and analyze sales data to create reports for management.

CRM support for the company:

  • Become a CRM subject matter expert.
  • Develop and generate reports out of CRM.
  • Support sales organization with CRM entries and updates ensuring accuracy and completeness of records.
  • Help develop and administer CRM trainings.
  • Support executive team as needed.

Support for Sales Team:

  • Assist with the preparation of sales proposals and presentations.
  • Handle administrative tasks such as managing schedules, organizing meetings, and maintaining sales documents and reports.
  • Provide support tracking & distributing sales leads from IIR
  • Maintain opportunity and bid logs.
  • Ensure backlog report is maintained timely and accurate.

Client Interaction and Support:

  • Act as a point of contact for potential (sales / marketing leads) and existing customers, handling inquiries and requests.
  • Follow-up with clients on behalf of the sales team.

Event Coordination:

  • Assist in organizing sales events, trade shows, and meetings.
  • Coordinate logistics, guest lists and materials for these events.

Marketing Material Coordination:

  • Aid in the development and distribution of marketing materials - brochures, emails, newsletters, website content, and social media posts.
  • Coordinate use of 3rdparty marketing company for new content development, website changes / updates and social media.

Market Research:

  • Assist in gathering market data to help in the planning and execution of marketing strategies. This can involve conducting surveys, analyzing competitors, and monitoring market trends.

Digital Marketing Support:

  • Working with digital marketing tools and platforms, such as social media, email marketing software, and content management systems.

Creative Input:

  • Provide support in creative processes like brainstorming sessions for campaign ideas or design concepts.

Budget Management:

  • Assist in tracking the marketing budget and preparing cost reports.

Education and Experience:

  • A high school diploma is required; a bachelors degree in business administration, sales, or a relevant field is preferred.
  • Experience in a sales or administrative role preferred.
  • Proficiency in CRM and other sales / marketing software tools.
  • Proficiency in Microsoft Office Suite.
  • Expertise in PowerPoint sales presentations.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
