PHOENIX LITHOGRAPHING CORPORATION, a commercial printing company, has an immediate opening for Administrative Assistants for its Sales Department at its Northeast Philadelphia facility.
This is a full-time position. Experience is absolutely required. Must be willing to work some overtime as needed.
Overview of the position:
The successful candidate will provide basic and routine clerical and administrative support for one or more Account Managers and support Account Managers with customer requests, orders, instructions, and correspondence. Candidate must have basic knowledge of commercial printing process, operations and terminology.
Duties and responsibilities:
- Prepare, produce, and distribute written communications such as letters, memoranda, email, faxes, forms, etc.
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Enter pricing on Excel grids and in online client portals
- Operate various types of office equipment
- Provide administrative support to sales staff
- Handle incoming calls, take messages, and promote effective interoffice communication
- Support account managers through a variety of tasks related to organization and communication.
- Responsible for handling highly confidential and time-sensitive material and information in a professional manner
- Become familiar with and learn to work with a variety of the concepts, practices and procedures involved in commercial printing and related services.
- Organize and schedule meetings and appointments with customers, vendors, and internal personnel.
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Order office supplies
- Book travel arrangements for account managers and visiting customers
- Arrange conference rooms, conference calls, taxis, couriers, hotels, as needed
- Submit and reconcile expense reports
- Provide general support to visiting customers and vendors
- Manage appointments for account managers
- Perform such other duties as required to contribute to the success of the team
Required skills:
- High school diploma or equivalent with administrative/operational support in manufacturing operations or office environment directly related to the duties of the job, *OR* demonstrated ability to meet the job requirements through a comparable number of years of work experience.
- Good knowledge of general/standard administrative/manufacturing operations procedures and methods to successfully complete the duties of the job
- General knowledge of technology including computers and software programs with emphasis on MS Word, Excel and Excel formulas, Outlook
- Knowledge of programs related to the print manufacturing process or administrative support
- Excellent written and verbal communication skills
- Excellent organizational skills, attention to detail, and problem-solving skills
- Ability to juggle multiple projects and to budget time to meet deadlines.
- Excellent interpersonal skills and the ability to maintain professional demeanor in working with all levels of employees, management and customers.
- Some knowledge of commercial printing is preferred but not required.
- Punctuality and good attendance are required.
- Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.
- Exercise good judgment and creativity to plan and accomplish goals
- Excellent time management skills and ability to multi-task and prioritize work
- Strong commitment to ensuring quality work and exceeding expectations
- Some knowledge of commercial printing is preferred but not required.
