In this pivotal role, you'll be the driving force behind our Executive Vice President and sales team, providing unparalleled administrative support that keeps our operations running smoothly. You'll be right in the heart of the action, collaborating closely with the EVP and the dynamic Sales, Marketing, and Customer Service teams on a wide range of activities.
From handling quotes and production planning to setting pricing strategies and overseeing system administration, you'll be at the forefront of our sales operations, ensuring that every detail is meticulously managed and executed to perfection. Your role will be to facilitate seamless communication and information flow between our internal teams and our valued customers, ensuring that everyone is on the same page and that our customers receive the exceptional service they deserve.

Key Responsibilities:
Documentation Management: Maintain and organize sales-related documentation, including contracts, proposals, and sales reports, ensuring accuracy and accessibility.
Data Management: Assist in the management of customer data and sales pipeline information, ensuring the CRM system is up-to-date and accurate.
Sales Reporting: Generate and analyze sales reports, providing insights and recommendations to improve sales performance.
Training and Onboarding: Assist in the onboarding and training of new sales team members, providing guidance on processes and procedures.
Event Coordination: Support the planning and execution of sales events, such as conferences, trade shows, and client meetings.
Collaboration: Collaborate with other departments, such as marketing, sales, and finance, to ensure alignment of sales activities with overall business objectives.
Continuous Improvement: Identify opportunities for process improvements and efficiency gains within the sales administration function.
Calendar Management: Coordinate and manage complex calendars for EVP, including scheduling meetings, appointments, and travel arrangements.
Meeting Coordination: Prepare agendas, materials, and presentations for meetings, take minutes, and follow up on action items as needed.
Travel Arrangements: Arrange travel itineraries, accommodations, and logistics for EVP, ensuring smooth and efficient travel experiences.
Documentation Management: Maintain and organize documents, files, and records, ensuring accuracy and accessibility.
Project Support: Assist with special projects and initiatives as assigned, providing research, analysis, and administrative support as needed.
Confidentiality: Handle sensitive and confidential information with discretion and professionalism, maintaining the highest standards of confidentiality.
Ad Hoc Support: Provide general administrative support to the EVP, including miscellaneous tasks and errands as needed.
Qualifications:
Bachelors degree preferred, with a minimum of 3 years of experience in an administrative role supporting senior executives.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Discretion and confidentiality, with the ability to handle sensitive information with tact and diplomacy.
Attention to detail and accuracy, with a commitment to delivering high-quality work.
Ability to work independently with minimal supervision, as well as collaboratively as part of a team.
Flexibility and adaptability to changing priorities and demands in a dynamic environment.
Strong problem-solving skills and a proactive approach to anticipating and resolving issues.
