Full description of the position
JOB OVERVIEW
Administrative assistant to President, Sales & Customer Service Departments. Includes but not limited to the following and other duties assigned as needed.
This position is required to be performed onsite.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Distribute incoming mail & emails to Sales & Marketing staff
- Act as receptionist: Greet visitors, field calls, take messages for President
- Assist Customer Service as needed
- Print sales call reports provided by NSM & NSA Submit to President
- Update sales travel ROI report
- Schedule & conduct followup as instructed by President (hard copy and/or digital)
- Monthly circulation of sales/marketing staff calendar to Sales & Marketing staff before the end of each month
- Review & submit mid-point & expiring price structure discounts are provided to President on a monthly basis
- Extend or cancel discounts as instructed by President or NSM Once updated distribute to customer service & sales staff
- Provide sales reports as requested by President
- Process American Express expense reports through Concur
- Prepare point of sale reports submitted by distributors so that correct sales rep agency can be commissioned post point of Sales in Industrios system platform
- Post point of sale credit memos & invoices in Industrios
- Prepare monthly commission report & submit to the Accounting department for processing
- Prepare & submit monthly sales report to President & NSM
- Assist President in creating annual budget for tradeshows & travel
- Prepare budget worksheets for Presidents review & approval. Distribute to appropriate staff as needed
- Maintain master budget worksheets throughout the year (tradeshow, travel, & combined)
- Maintain the list of Internal Sales Rep agencies & any changes that occur such as new agencies/representatives, email addresses, phone numbers, mailing addresses Distribute updated list(s) to staff
- Accountable for keeping log of all samples sent to Sales Reps & RSMs - Follow up to get samples back if needed
- Prepare & send contracts & W9s to new Sales Representative Agencies Follow up as needed to make sure documents are returned
- Submit sales order(s) for samples as instructed by President or NSM
- Provide sales rep agencies with SDC credit application(s)
- Prepare & submit send quotes as requested by President or NSM
- Schedule & conduct quote follow up as instructed by President or NSM
- Provide monthly, quarterly, & yearly reports to President, NSM, NSA & Sales Reps
- Coordinate travel arrangements for by booking hotels, flights or rental cars as needed for staff travel
- Coordinate shipping to & from all tradeshows & training classes
- Collect post show summaries from booth staff & submit to President & NSM
- Distribute post show leads to Marketing & appropriate Sales Rep agencies
- Organize & coordinate meals for both on-site & offsite for sales/training meetings
- Accountable for also coordinating hotel reservations for sales/training meetings
- Provide reports, sample paperwork etc., to President and/or NSM as requested
- Provide shipping labels to Sales Reps & customers as needed
- Investigate customer concerns regarding missing packages, missing product, etc.
- File claim with UPS or freight companies as needed & follow up until resolved - Notify customer of resolution
- Support International Sales Manager Preparing quotes & pro forma invoices
QUALIFICATIONS & SKILLS
- One year certification from college or technical school or three to six months of related experience and/or training; or equivalent combination of education & experience.
- Proficiency in Microsoft Word & Excel programs
- Excellent attention to details, taking initiative, collaborative, strong organization & prioritization skills
- Excellent verbal & written communication skills, competent keyboard, keystrokes & an aptitude for numbers & mathematical skills
- Ability to work as part of a team, coordination & collaboration skills
- Able to write & prepare reports, documents & correspondence
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
Expected hours: 40 per week
