Full description of the position

The Alexander Company is seeking a Property Manager to oversee 3 apartment communities (253 units) both located on the Novation Campus on the border of Madison and Fitchburg. The ideal candidate will possess the ability to handle the day to day operations of 2 multi-family properties; including driving leasing to achieve and maintain occupancy goals, providing exceptional customer service, and overseeing maintenance to assure that work orders are completed and the property remains in pristine condition. The candidate should be well versed with working in a fast-paced, problem solving environment, has good communication skills both written and verbal, effective organization skills, and is detail oriented. These properties have both tax credit and market units. Previous LIHTC (Low Income Housing Tax Credit) experience is a plus, but not required. Bi-lingual applicants are highly encouraged to apply. Our leasing office is located at the Artisan Village Apartment community and all of our properties are at 95% occupancy or better.

Leasing Responsibilities:

  • Greet prospective renters and qualify them by covering all required LIHTC and Fair Housing criteria
  • Respond to all lead inquiries via email, phone, and walk-ins
  • Set appointments and conduct apartment showings
  • Enter prospect information and process applications in Onesite software
  • Prepare and draft leases and complete all necessary paperwork accurately and in a timely manner
  • Review & deliver 120, 90, 60, 30-day notices to residents for renewals to complete annual recertification paperwork
  • Follow up on renewal notices to ensure timeliness completion or update availability for non-renewals
  • Continuously monitor advertising platforms and property website to ensure accurate availability is being displayed properly
  • Conduct market studies & review concessions monthly

Tenant Relations:

  • Address resident complaints, concerns and requests in a timely manner to ensure resolution
  • Enforce policies and rules of the apartment community based on the lease documents
  • Assist with organizing, promoting and holding resident events
  • Consistently utilize our community platform on ActiveBuilding to increase online payments and electronic resident communications

Management Responsibilities:

  • Complete monthly rent collection and follow up with residents on delinquent amounts
  • Monitor work orders are completed in a timely manner and follow up with resident, maintenance technicians, or vendors as needed
  • Monitor purchases made by site staff and review invoices for accuracy to submit for payment processing
  • Obtain bids and oversee the completion of projects, scheduled maintenance and all other duties as assigned
  • Conduct weekly property walks, monthly site inspections and semi-annual unit inspections
  • Assist in compliance, management, owner and investor reporting

Requirements:

The job is predominantly sedentary but requires mobility. (i.e. climb stairs and walking) to tour the community. This position involves sitting, walking, or standing for prolonged periods of time.

Qualifications:

  • 3+ years of property management experience required
  • College level education strongly encouraged
  • Computer proficiency, including MS Office: Word, Excel, and Outlook
  • Onesite property management software experience is a plus
