SALES ADMINISTRATOR RESPONSIBILITIES
Job Duties revolve around four core tasks:
*PROPOSAL PREPARATION *CUSTOMER ACCOUNT RECONCILIATION*
DATABASE MANAGEMENT * NEW ACCOUNT SALES SUPPORT
In a position of support to the Sales Team, responsibilities include tasks that directly and indirectly affect sales revenue:
Surveys & Proposals
(Responsible for preparing and evaluating incoming opportunities)
- Review SharePoint documents for accuracy based on department guidelines.
- Pricing, materials, and labor hours
- Insure JHA has been completed in timely manner.
- Ensure documents are saved both electronically and in organized office files.
- Maintain a file which includes original, correspondence, changes, deviations, amendments, and clarification documents.
- Forward to Outside Sales Rep for presentation
- Update Dynamics database for Territory Pipeline tracking.
- Communicate with O/S Rep for Pipeline accuracy.
New Account Start-Ups
(Responsible for ensuring that all new account tasking and contact profiles are ready for dispatching)
- Prepare SharePoint startup document for Customer Service
- Pricing, materials, and labor hours
- New Account company profile
- Send C&L Thank You email to Customer for additional information.
- Request Credit Limit
Customer Account Reconciliation/Revisions
(Responsible for preparing, analyzing, and revising contracts)
- Access revision request to decern action needed
- Coordinate as required.
- Communicate directly with Customer as needed.
- Reconcile current tasking vs suggested changes.
- Review Customer Contract file and Dynamics dispatch database
- Calculate revisions on Excel bid spreadsheet.
- Prepare revised Agreement/Revision letter.
- Forward documents to O/S Rep for customer approval
- Update Dynamics pipeline for appropriate O/S Rep
- Track details and follow communication with customer.
- Keep organized/detailed file records.
- Maintain a file which includes original, correspondence, changes, deviations, amendments, and clarification documents.
- Update Customer Contract file upon signing or refusal.
- Prepare revision start-up form for Customer Service
Support closing of PM Sales
(Responsible for preparing, analyzing, and revising contracts)
- Act as connecting piece between the Customer and the O/S Rep
- Communicate with O/S Rep for Pipeline accuracy
- Follow up calls as requested by Outside Sales
- Send follow up emails as requested by Outside Sales
- Check Dynamics for Recap notes/updates by O/S Rep
Account Cancellations
(Responsible for ensuring Previous Customer information is set for future follow up)
- Document cancellation notes/specifics in Dynamics
- Review criteria with O/S to determine if account is acceptable to prospect and earn business again.
- Set new call activity for appropriate TeleSales
- File in Contract Cancellations
Important skills:
- Excel-Basic
- CRM-Contact database management experience-Proficient
- Microsoft Office- Competent
- Adobe PDF-Competent
- Accounting- Previous business experience a must.
Misc. Software-any experience a plus:
- Teams
- SharePoint
- Dynamics
Job Type: Full-time
Pay: $23.00 - $25.00 per hour
Expected hours: 40 per week
