Full description of the position

The Sales Support Specialist serves as the go to person for our sale, operations, and accounting teams. This position will be involved in a variety of facets of our business to help resolve issues and support internal and external customers.

Essential Duties and responsibilities*

• Serve as a liaison for key customers
• Communicate directly with customers on an as needed basis in person and/or e-mail
• Timely receipt and confirmation of orders
• Set up domestic and international shipments and insure all the necessary paperwork is accurate and included, including for hazardous materials
• Follow-up on receipt of orders and invoicing
• Maintain close communication with freight companies regarding clearance of goods at customs, quote requests, claim handling, freight price negotiations and monitoring
• Receive raw materials in the system in a timely, accurate manner
• Collaborate with production/quality on the processing of production sheets, monitoring of inventory, and document maintenance
• Keep the sales team apprised of the status of orders throughout the production process using the tools and resources provided
• Order and receive in vendor samples
• Process customer sample orders, follow up and provide updates to the sales team and others as necessary
• Generate invoices
• Accurate and timely processing of accounts payables and receivables
• Review paperwork for accuracy and correct potential issues
• Assist in the coordination and processing of regulatory requests
• Monthly sales reporting
• Oversee customer rebates
• Review of low margin sales analysis
• Special reports and projects for management and account managers
• Other duties as requested

Qualifications

• Minimum High School diploma/GED, advanced education preferred (Associate degree plus)
• 2+ years of experience in customer service, sales support or inside sales or equivalent combination of education and experience
• Experience with import/export shipments and associated paperwork
• Inventory managements skills
• Exceptional interpersonal and communication skills and comfortable interacting with customers, suppliers, colleagues and management on a regular basis
• Critical thinking and problem-solving skills
• Exceptional customer service/relations skills
• Organization and time management skills
• Attention to details
• The ability to work in a team environment, prioritize work assignments and act independently to resolve potential conflicts
• Self-motivated, high energy, and engaging level of enthusiasm and positive outlook
• Proficient in MS Office programs including Outlook, Word, Excel, Teams, and PowerPoint
• Experience with Datacor and/or Quickbooks is a plus
