Full description of the position

POSITION DESCRIPTION

Position: Sales Coordinator (Non-exempt employee)

Department: Sales

Reports to: Director of Sales and Marketing

Purpose of the position:

The Sales Coordinator at the Aloft Dallas Downtown holds a very important position. A dedicated, organized, reliable, and efficient person will excel in this position. The main goal of the sales coordinator is to provide exceptional customer service to the guests and clients of the hotel and facilitate tasks assigned by the sales and hotel managers for coordinating group requests and needs. The Sales Coordinator position requires a skilled employee who is present, engaged, and on property from 9am-5pm, Monday- Friday. The list below shows a description of common tasks and is not to be taken as the sole responsibilities of the coordinator.

Essential Job Functions:

Answer all incoming calls to the sales department and address the guests requests. Qualify calls prior to transferring calls to the appropriate sales or catering manager

Respond to client requests received via email, phone, voicemail

Pull daily reports and send them to sales managers

Balance room types and perform lightspeed system balancing

Load new groups into lightspeed and coordinate new client/group elements

Clean up group room blocks and review daily strategy report

Coordinate reservations, deposits, billing, credit card authorization forms, cutoff reminders, parking needs, group resumes, pickup reports, closing details, planner points, and thank you cards for all groups.

Attend staff meetings and provide staff with group resumes and present groups for next ten days

Prepare all weekend group information for front desk and coordinate with front office manager on all upcoming groups

Occasionally attend industry events

Skills and Abilities:

  • High School Diploma or Equivalent

Previous hotel sales or front desk experience highly preferred

Previous lightspeed experience highly preferred

Aptitude for technology and web-based learning.

  • Ability to communicate effectively both verbally and in writing.
  • Must be able to remain seated for lengthy periods of time, during an 8-10- hour shift.
  • Must be able to move a minimum of 20 pounds up to 5 feet high without the aid of another person

Job Type: Full-time

Pay: $19.43 - $20.46 per hour
