Full description of the position

Job Title: Property Manager

Reports to: Operations Director

Wage Status: Salary

Job Summary:

Colonial Property Management is looking for a motivated and personable Property Manager to provide effective, efficient, and profitable management and oversight of all aspects of their assigned Portfolio. The Property Manager is responsible for all day-to-day operations of the property including marketing, resident relations and retention, facilities management, financial reporting, and employee supervision in order to meet the established operating budget and financial goals of ownership.

Qualifications:

High School Degree Required. College degree in business, marketing, or related field preferred.

: 2-5 years work related experience, previous experience working in property management.

: Ability to interact with people in an articulate, professional, and friendly manner. Strong interpersonal communication skills. Highly organized with good attention to detail. Ability to multitask and prioritize. A solid understanding or MS office and previous property management software. Propertyware Preferred. Knowledge of financial reporting.

Fair Housing Certification, willingness to obtain.

Duties & Responsibilities:

Personnel Supervision

  • Hire, train, coach/counsel and when necessary, terminate employees in accordance with company policy and under the direction of the Operations Director.
  • Train and be responsible for work performed by all personnel under their direction.
  • Establish daily personnel schedules and provide adequate coverage for office, maintenance, and emergency needs.
  • Perform written evaluations of employees and make recommendations for salary increases and/or advancement.
  • Maintain accurate daily payroll records including time off requests and balances.
  • Ensure compliance of all Company personnel policies.
  • Conduct daily morning meetings to set priorities, discuss issues and direct on-site staff.
  • Maintain open communication with Operations Director to ensure all company needs are met, including coverage or help maintaining your own workload.
  • Effective leadership of a large team of diverse individuals.

Marketing and Leasing

  • Good phone etiquette and ability to check voicemails and emails throughout the day.
  • Become an expert on the property and market its features, amenities, location, and neighborhood.
  • Set expectations and hold staff accountable in matters relating to customer service and sales abilities.
  • Assume responsibility and set goals for achieving 100% occupancy on a consistent basis.
  • Develop a monthly marketing plan for the portfolio in conjunction with Operations Director.
  • Oversee the processing of lease applications; accept or deny based on CPM application criteria.
  • Oversee preparation and proper execution of lease / renewal agreements and related forms. Ensure accuracy.
  • Monitor and review traffic and availability daily.
  • Produce and update leasing reports in an accurate and timely manner.
  • Ensure CPM Website and Internet Listing Sites are accurate and updated regularly.
  • Review market data to ensure the portfolio is priced appropriately, recommend pricing adjustments to the Operations Director regularly.

Budgets and Financials

  • Oversee the rent collection process including 5-day, 14-day paperwork ensuring delinquent balances are monitored and addressed regularly.
  • Input accurate information in Propertyware to track and maintain accurate lease and financial transactions.
  • Ensure bank deposits are made according to CPM guidelines.
  • Approve necessary supplies and equipment purchases in accordance with budget and policy guidelines.
  • Work within an established budget and review variations with the Operations Director.
  • Assist Operations Director with creation of annual budget.
  • Complete past due debt procedures as outlined in standard operating procedures.

Procedural and Resident Relations

  • Ensure resident satisfaction through effective communication and quality rapport.
  • Oversee move-in process. Prepare units thoroughly and execute unit move-ins in accordance with company guidelines.
  • Oversee move-out process. Conduct apartment inspections with Lead Maintenance to effectively manage the move-out process to ensure company guidelines are being followed.
  • Ensure all maintenance repairs are handled satisfactorily by ensuring timely response and completion.
  • Brainstorm and plan fun events to engage residents and enhance their life on the property as such. Attend functions and participate as host as needed.
  • Responsible for handling difficult customer interactions including complaints, sublets, maintenance issues, security deposit disputes, etc.
  • Review, approve, and monitor all timelines & budgets for non-24-hour turnovers and remodels. Collaborate with Lead Maintenance tech.
  • Initiate and monitor legal actions under supervision of Operations Director.
  • Follow and ensure compliance of all Fair Housing Laws.

Maintenance

  • Physically inspect common areas, vacant apartments, and grounds to ensure excellent curb appeal is present.
  • Follow up on items that need attention and coordinate with the Director of Maintenance and Operations Director to address issues in a timely fashion.
  • Perform weekly cleaning inspections and maintain paperwork as needed.
  • Obtain bids from outside contractors, with input from Lead Tech and Director of Maintenance. Supervise outside vendors to ensure timely repairs are made.
  • Maintain open communication with Operations Director and Director of Maintenance as issues arise.
  • Notify current tenants of intent to enter when work is needed in their home.
  • Ensure that unsafe conditions are corrected in a timely manner or reported to the proper person if unable to correct immediately.
  • Inspect shop and maintenance areas for cleanliness and organization; this includes supply and storage areas.
  • Monitor inventory levels and tool/equipment storage.
  • Maintain asset improvement project list as outlined in the standard operating procedures.

General/Administrative

  • Operates computer programs (Propertyware) to satisfy the needs of the job.
  • Understands all sections of the Application and Lease including addendums to explain and effectively answer questions.
  • Comply with all federal, state, local and company policies, procedures, and regulations.
  • Participate in training to comply with new or existing laws and/or company SOP changes.
  • Neat, clean, and professional appearance at all times.
  • Provide Daily Report to Operations Manager and Owner.
  • Perform other duties which may be required to ensure economic success of Colonial Property Management.

Physical Requirements and Working Environment

  • Must be able to periodically lift up to 20 lbs.
  • Successfully pass a drug test.
  • Ability to walk and traverse stairs on a regular basis.
  • Inside and outside work in all types of weather (heat, rain, cold, snow etc.) Must wear slip resistant footwear appropriate for the season.
  • Ability to work long hours when required.
  • Valid Drivers License and operable vehicle with insurance.
  • Attendance is an imperative job function, with prompt daily arrival.

Job Type: Full-time

Pay: From $65,000.00 per year
