BID COORDINATOR + CONTRACT ADMIN
Reports to: Controller & Senior Estimator
Positions reporting to this role: None
Bid Coordination
- Assist with determining which jobs to bid / decline.
- Review invitations to bid for relevant scope and information.
- Setup and categorize bid files on server & bid tracking portal.
- Review project documents including drawings and specifications downloading relative items into bid file.
- Maintain current & upcoming bid list.
- Maintain & disburse weekly verbal awarded contracts report.
- Assist Senior Estimator with organization of sample materials & literature.
- Answer corporate phone lines & transfer calls as needed.
- Participate in weekly meetings with preconstruction team.
- Perform other duties as required to achieve goals of the preconstruction department.
Contract Administration
- Track contract status for each project to full execution.
- Update job tracker with new status updates.
- Facilitate contract review and execution by relative parties.
- Review contract terms and conditions per review checklist.
- Compile a list of revisions, additions, and/or exclusions needed.
- Request contract revisions from client tracking requests to completion.
- Escalate issues to Controller and President as needed.
Job Setup & Compliance
- Setup new projects and customers in accounting software.
- Maintain/update weekly Contracts Added report.
- Update job folders on server with assigned project number.
- Update job tracker with required compliance items.
- Notify accounting team of new jobs requiring a P&P bond, OCIP/CCIP, ODP, or Certified Payroll reporting.
- Obtain COI for each new contract per requirements.
- File project Notice To Owners.
Desired Skills & Abilities
- Proficient & able to work with computers & software programs.
- Proficient with Microsoft Office Suite (Excel, Outlook, Word).
- Time management & organizational skills.
- Problem solving & communication skills.
- Ability to work in a team environment and fit in with positive company core values.
- General knowledge of the construction industry.
- Prior experience with Bluebeam software a plus.

Pay: $15.00 - $20.00 per hour
