The Treatment Coordinator (TC) works closely with the doctors and staff to assure that all patient care is scheduled, coordinated, and maximized. The TC is focused on marketing, advertising, and new patient on-boarding. As a main conduit of information between doctor and staff, the TC strives to bring out the best in the doctors and entire staff.
Essential Duties:
- New patient consultations: orthodontics
- Marketing: internal and external
- Trains staff on how to best optimize the patient experience
- Coordinates with the clinical staff for ideal patient care
- Focused on achieving excellent customer service and patient satisfaction from services rendered by the practice staff.
- Assures that the practice property is clean, professional and well kept and that all clinical and office equipment is kept in proper working order.
- Reviews fee structures for products and services and recommends changes to achieve financial success.
- Responsible for preparing the doctor and team for new patient consults.
- Coordinates with referring offices regarding received and sent referrals for patients.
- Obtains patient feedback to improve and strengthen customer service and patient care
- Manages the patient experience including pre-appointment touches, new patient scheduling, initial appointments, and initial recall/follow-up
- Primary contact for new and existing patients for communication including phone, email and text
- Acts as a liaison between patients, staff and doctor concerning problems and complaints and attempts to resolve the matter(s).
- Oversees patient care by scheduling appointments, coordinating financial arrangements (including billing and insurance), maintaining patient records, and following up on delinquent accounts.
- Responsible for confirming appointments
- Organizes the clinical schedule for clinical optimization and patient comfort
- Maintains up-to-date contact information for all active patients
- Broken appointment monitoring
- Assists the employer with developing a marketing program to maintain the financial welfare of the practice.
- Monitors and tracks marketing efforts for optimization and performance
- Establishes and maintains the practice brand
Knowledge/Skills/Abilities:
- Fluent ability in English and Spanish composition, grammar, spelling, and punctuation.
- Ability to maintain composure and professionalism when exposed to stressful situations.
- Ability to engender trust from the doctors, co-workers, and patients.
- Ability to work cooperatively with management, staff, and patients.
- Proficient in using conflict resolution and problem-solving techniques to manage conflict, patient complaints, and other discord.
- Ability to prioritize, organize, and complete tasks in a timely and independent manner.
- Ability to accept constructive criticism.
- Ability to understand and follow written and verbal instructions, to collect data, establish facts, draw valid conclusions, and maintain confidentiality.
- Ability to communicate and express thoughts and ideas competently.
- Ability to quickly grasp relevant concepts regarding duties and responsibilities.
- Ability to lead, motivate, and inspire the rest of the dental team
Education / Experience:
- Bachelor's degree and two years dental management experience
- OR
- Five years dental management experience
Physical and Environmental Requirements:
- May be required to lift up to 50 lbs.
- Active movement throughout the day: sitting, walking, standing, squatting, bending, stooping, reaching, etc. (not a sedentary position).
- Vision: close vision, depth perception, and ability to adjust focus.
- Hearing: able to satisfactorily communicate with patients, doctor, and other staff members to ensure that verbal communication is clearly understood, or a satisfactorily-equivalent method of communication.
- Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment.
- May be required to administer CPR.
- Occasional exposure to toxic or caustic chemicals and radiation.
- Exposure to moderate noise levels and fast-paced, high anxiety environments.
Additional or different duties may be assigned occasionally at employers discretion.

Pay: $26.00 - $32.00 per hour
