Job Title: Sales & Reservations Coordinator

Job Overview: The Sales and Reservations Coordinator is a key role at our hotel, responsible for supporting all aspects of reservations and sales efforts by coordinating room bookings, handling guest inquiries, and ensuring the seamless distribution of information across departments. This position demands excellent communication skills, attention to detail, and the ability to prioritize.
Reports to: Director of Sales & Marketing
Key Relationships:
Internal: Reservations, Sales, Catering, Front Desk, Housekeeping, Restaurant, Accounting, and Maintenance.
External: Hotel guests, visitors, and other sales & revenue personnel
Qualifications/Skills:

Essential Job Functions:
- Coordinates the efficient distribution of essential information, including Banquet Event Orders and resumes, across all relevant hotel departments.
- Maintain sales calendar and guest amenity selection, including VIP amenities.
- Answer all telephone calls within three rings with proper etiquette according to company standards.
- Provide detailed information to guests on hotel amenities, rooms, dining options, and local attractions and activities.
- Stay updated on current rates, rate changes, and promotions.
- Assist the Sales Department with special projects as needed.
- Review previous day's reservations, cancellations, no-shows, arrivals report and manage room blocks accordingly.
- Run and audit the daily arrival list for duplicate bookings 14 days in advance.
- Enter rooming lists and billing information as directed by the Sales and Catering Department.
- Audit reservations as necessary and ensure accurate input of room blocks with correct billing information.
- Assist with the maintenance and accuracy of data within hotel management systems, such as Amadeus (Delphi).
- Perform additional duties as assigned by the General Manager, Reservations Supervisor, and Sales Managers.
Desirable:
- At least 1 year of hospitality experience
- Knowledge in OPERA Property Management System
Essential Physical Abilities:
- Endure various physical movements throughout the work areas, such as reaching, bending and stooping
- Requires the ability to occasionally lift office products and supplies up to 20 pounds
- Repetitive hand motion (typing) for extended periods of time
Essential:
- Must be available for the day shifts ranging between the hours of 8am-5pm on weekdays and weekends
- Ability to maintain standard attendance expectation
- Must be able to communicate professionally and tactfully in English, both written and verbal
- High school diploma or equivalent
- Prior experience with using telephone and basic computer functions and Microsoft Office applications (Excel, Word, PowerPoint)
- Excellent communication skills
- Ability to work at a desk for long periods of time required
