Full description of the position

The ideal candidate is a team player, enjoys providing customer service to a team, working with sales while providing excellent administrative support.

SUMMARY DESCRIPTION

Performs a full scope of activities related to assigned area; assignments at this level have significant impact on sales and operations and require a broad knowledge of trim product management, processes applied to the development of trim product and specialized customer service; serves as the front line support for administrative and technical work activities required for successful management of assigned customer accounts; under the direction of the Operations Supervisor serves as the direct sales contact for assigned Global Trim house accounts; receives, processes and reviews product orders for assigned accounts; collects, reviews, updates and prepares various types of documentation in support of the sales transaction management process; provides sales support service for assigned customers; executes assigned work based on established priorities and conducts business based on current company policies and procedures.

Positions at this level are expected to function with the same amount of program knowledge or skill level as positions allocated to the Senior Account Coordinator. Positions at this level exercise independent discretion and judgment in matters related to work procedures and methods. Account Coordinator work is assigned and when appropriate supervised while in progress and fits an established structure or pattern. Exceptions or changes in procedures are explained by supervision in detail as they arise.

DUTIES

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

  • Perform a variety of duties involved in the support of the sales of trim and hardware products supplied by Global Trim Sales, Inc., a OpSec company; ensure all sales transactions activities assigned comply with policies and procedures approved by management.
  • With oversight from Operations Supervisor and/or Senior Account Coordinator prepare material content and documents required to support the sales transaction management process.
  • Support the Sales Team by providing administrative and technical task support for the management of assigned sales team and Global Trim designated in-house customer accounts.
  • Provide general support to affected Sales and Operations personnel as assigned to facilitate ongoing sales transaction processes. Support will include but not be limited to creating and maintaining product matrices, preparation of customer sample cards, prepare and process product shipping information, process product approval paperwork, enter product orders into FMS and communicate identified issues to appropriate sales operations or management personnel as they are identified.
  • Under general direction process artwork, prepare requests for product quotes (RPQ), maintain development reports, process product samples, QAQC product and process product revisions for all assigned customer accounts.
  • Update existing and create new customer accounts within the Financial Management System using information obtained by operations, sales team members or information acquired by this position as directed.
  • Set in on in-house and select off site sales calls to Sales Team customers as requested by the Sales Manager or the Sales Managers designee and document the sales call content, action items and follow up requirements in the appropriate information management system on behalf of the appropriate sales team.
  • Upgrade product library content and maintain library inventory in support of the sales team.
  • Pull and distribute marketing materials and library product samples and other miscellaneous items to be distributed to customers and forward them as needed.
  • Support the Global Trims sales plan by implementing aspects of the plan that pertain to the roles and responsibilities of the assigned class and the roles and responsibilities of other team members as directed.
  • Collaborate with sales team members to create and execute sales and marketing strategies approved by the Sales Manager.
  • Perform other assigned task as required.

Qualifications:

  • Operations policies and procedures that govern the GTS sales transaction process.
  • Understanding of GTS Sales principles, practices, and governing policies and procedures.
  • Information necessary to properly document a sale transaction per Global Trim Sales, Inc. policies and procedures.
  • Office procedures, methods, and equipment including computers and applicable software applications such as word processing, spreadsheets, and database applications.
  • Principles and procedures of recordkeeping and filing.
  • Principles of letter writing and basic report preparation.
  • Mathematical principles.
  • Pertinent federal, state, and local codes, laws, and regulations.
  • English usage, spelling, grammar, and punctuation.

Ability to:

  • Interpret and apply administrative and departmental policies and procedures.
  • Interpret, explain, and apply sales and operations policies, procedures, and practices.
  • Maintain detailed and accurate sales transaction documentation.
  • Work cooperatively with other work groups, management, and other direct sales personnel.
  • Effectively represent Global Trim Sales Inc. to customers or customer designees in an effort to accomplish the goals and objectives of the operations team.
  • Operate office equipment including computers and supporting word processing, spreadsheet, and database application.
  • Understand and follow oral and written instructions.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.
