Starlight is seeking an outgoing + business-oriented Star to join our team as Special Events + Sales Coordinator! This will be a full-time, salaried position that will work year-round.

The Special Events + Sales Coordinator oversees the event activity for Starlight which includes special event rentals, internal events, and serves as the client facing contact for stakeholders for event activities at Starlight. This role creates programming adjacent events to elevate experiences tied to performances and is a key member of the team providing sponsorship activation support and fulfillment. Responsibilities include pre-event coordination and execution with contractors/vendors, client relations, venue tours, ensuring event staffing, food + beverage, A/V needs, ordering of rental equipment, and completion of event reports. This position relies on exemplary communication, customer service with clients, vendors and staff to ensure seamless event execution with high integrity at Kansas Citys premier arts and culture landmarks.

Required Accountabilities & Deliverables:

• Professionally and positively serve as Starlights representative in interactions with clients, vendors, key stakeholders, board members, and guests.
• Be the primary liaison between client and Starlight staff and vendors, and ensure accurate event layouts, equipment, catering, and staffing needs for events.
• Coordinate unique events of many sizes including Starlights annual fundraising gala.
• Prepare and execute event contracts with clients and ensure invoicing with Starlights finance team.
• Develop appropriate event-related materials including venue info, food and beverage, in-event signage, marketing campaigns, etc.
• Work in VenueOps/Momentus Elite software to keep client info and sponsorship activation current, prepare and execute contracts, maintain budget, and ensure event details and timely client payments.
• Respond to event inquiries, conduct venue walk-thrus, provide rental packages, and book events that meet Starlights mission, vision, values and commitment to Inclusion, Diversity, Equity and Access.

Preferred Skills and Abilities:

• Exceptional interpersonal, communication and organizational skills.
• Ability to self-start, prioritize projects, and develop processes while effectively collaborating as part of the Starlight team and within its broader strategic initiatives.
• Desire to work in a fast-paced environment balancing multiple clients which may require 40+ hours per week including evenings, weekends, and holidays.

Preferred Education and/or Work Experience:

• Bachelors degree and 1 3 years of relevant experience in hospitality, events or related field.
• Knowledge of sales and relationship cultivation, contracting, budgeting, catering operations, staffing, volunteer management and execution of large-scale events (100+).
• Knowledge of VenueOps/Momentus Elite software, entertainment/arts/culture operations preferred.
